The Contract Receptionist will serve as the face of REGENXBIO and will be the first point of contact when clients walk into the office. This individual should have a balance of both customer service and administrative skills. The opportunity
The Contract Receptionist will serve as the face of REGENXBIO and will be the first point of contact when clients walk into the office. This individual should have a balance of both customer service and administrative skills. It is essential that the individual is friendly and energetic as well as has the ability to work in a fast-paced environment, making decisions quickly and confidently.
What You’ll Be Doing
- Welcome and check in onsite visitors, determining nature of business, and announces visitors to appropriate employees; ensures that all visitors are appropriately accommodated
- Answer incoming telephone calls and retrieves voice mail messages; determine purpose of call and forward messages to appropriate person or department
- Ensure reception/lobby area is clean and presentable
- Provide necessary information to callers, i.e., address, directions, etc.
- Receives, sorts, and routes mail and incoming deliveries
- Store packages in designated area and assist with outgoing shipments, including preparing FedEx labels
- Serve as main point of contact for our snack delivery vendor
- Coordinate activities of outside vendors included but not limited to professional shredding services, food delivery services, and mail services
- Inventory and distribute office supplies weekly
- Manages visitor and contractor Badges check out/in
- Monitor door cameras, respond to visitor inquiries, and partner with onsite security team as needed
- At least two years of administrative experience (Bachelor’s degree preferred but not required)
- Must be approachable with a professional demeanor and able to create an immediate, positive first impression
- Must have a professional phone manner and polished communication skills
- Positive attitude and overall demeanor
- Strong problem-solving skills and detail oriented
- Highly organized and able to set priorities
- Ability to work with all departments and levels throughout the organization
- Ability to handle highly confidential information
- Self-motivated
- Intermediate Microsoft Office skills
