Job Summary
The Scheduling Clerk is responsible for coordinating and managing the appointment scheduling process for patients, ensuring that all appointments are scheduled in a timely and accurate manner. This position involves working closely with healthcare providers, patients, and other departments to optimize scheduling efficiency and enhance patient care. The Scheduling Clerk is also responsible for maintaining accurate records and supporting the overall administrative function of the facility.
Essential Functions
- Schedules patient appointments for consultations, treatments, procedures, and follow-ups as directed by healthcare providers.
- Communicates with patients via phone, email, or in person to confirm appointments, provide necessary instructions, and address inquiries.
- Accurately enters and updates patient information, appointment details, and relevant notes into the electronic health records (EHR) or scheduling system.
- Maintains accurate and up-to-date scheduling records, including cancellations, reschedules, and no-shows.
- Resolves scheduling conflicts, ensuring that appointments do not overlap and that resources (e.g., equipment, rooms, staff) are available.
- Contacts patients to confirm appointments and provide pre-appointment instructions.
- Provides general clerical support, including answering calls, faxing, and filing.
- Greets patients and assist with check-in at appointment times.
- Processes and files appointment-related documents and reports.
- Collaborates with other departments to ensure smooth scheduling and patient care.
- Assists with generating and maintaining scheduling reports and tracking cancellations.
- Performs other duties as assigned.
- Complies with all policies and standards.
Qualifications
- H.S. Diploma or GED required
- 0-2 years of experience in a scheduling, administrative, or customer service role, preferably in a healthcare setting. preferred
- 0-2 years with electronic medical record (EMR) systems and scheduling software is a plus. preferred
Knowledge, Skills and Abilities
- Knowledge of computers, and other standard office equipment
- Attention to detail and concentration
- Ability to work independently and as part of a team in a fast-paced environment.
- Ability to exercise good judgment to handle calls appropriately
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Must have excellent interpersonal and communication skills both written and oral
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Knowledge of medical terminology is preferred.
