A Brief Overview
Provides support by performing various clerical duties, data entry, scheduling tests and discharge functions within unit operations to affect a smooth, efficient and customer responsive patient flow of services.
What you will do
- Interacts with all visitors, coworkers and other departments in a customer friendly manner.
- Acknowledges individuals that enter the work area.
- Identifies ways to assist the individual.
- Provides assistance to individuals who may need directions.
- Assists individuals in finding resources in the patient care area.
- Handles all telephone calls in a customer friendly manner.
- Answers calls promptly using the standard department greeting, (department area, name, title).
- Provides assistance and answer inquiries.
- Takes complete and accurate messages and ensures the message is delivered to the appropriate person.
- Transfer calls to the appropriate area.
- Makes appointments for patients in compliance with unit standards and hospital policies, procedures and protocols.
- Places calls to schedule treatments and procedures as ordered.
- Schedules tests, therapies, operative / surgical procedures or specialty consultations to facilitate a coordinated flow of patients’ medical evaluation process.
- Ensures proper disposition of patient to ancillary area for diagnostic tests through written / verbal directions or assistance by transportation department.
- Maintains identified patient record while the patient is admitted to the patient care area.
- Identifies forms that belong in the patient chart.
- Assembles and / or disassembles patient charts / medical records as required.
- Maintains the proper order and quantity of forms in the patient chart.
- Fills out and submits correct patient forms to the appropriate ancillary department.
- Checks information on all related documents to ensure that information is provided expediently to appropriate medical personnel
- Retrieves and attaches lab test results and other documentation to medical record.
- Reviews physician's update of electronic medical record and transcribes necessary data as required.
- Performs all tasks associated with maintaining patient census.
- Alerts appropriate staff of patient arrivals.
- Maintains current information, reflecting arrivals, discharges or transfers within the unit or to another unit.
- Enters current and corrects activity in the census book (in applicable units).
- Prints census report as needed.
- Enters transfers and discharges in computer accurately and in a timely manner.
- Utilizes computer and related equipment to update, revise and maintain all information in the identified computer system.
- Transfers and / or discharges patients correctly.
- Selects patients correctly.
- Enters orders / charges correctly.
- Cancels orders and credits charges correctly.
- Displays results successfully.
- Displays Pharmacy Medication Profile successfully.
- Communicates effectively to provide information / assistance. Confers and works collaboratively with patient / family / hospital staff in a customer responsive and courteous manner, in compliance with iRESPECT standards and promoting patient / customer satisfaction.
- Establishes and maintains floor inventory of identified forms and supplies.
- Identifies forms and supply items needed in the patient care area.
- Sets up an inventory list of supplies needed.
- Verifies the amount of supplies available for use.
- Prepares requisitions for replacement supplies.
- Verifies supplies received are the supplies ordered.
- Restocks the supply areas when received.
- Maintains confidentiality of patient, department and hospital information. Adheres to established department and organization policies in processing and releasing patient information (i.
e. HIPPA, Confidentiality, and Compliance Policies).
- Completes required continuous training and education, including department specific requirements. Responds to problems / opportunities to improve work environment and participates in unit based performance improvement activities.
- Transports mail, records, reports and files.
- Maintains a clean, orderly, safe environment in direct and indirect patient care areas. Adheres to established policies, compliance / quality improvement, patient safety, environment and infection control standards.
- Provides coverage for relief and absences as required.
- In addition, Patient Service Clerks assigned to the Nursery will perform the following functions : Responsible for managing the hospital’s birth certificate process.
- Obtains accurate parent / child information and files the information with the State of Tennessee within 30 days of birth.
- Provides parent(s) with a Mother’s copy of the birth certificate prior to discharge.
- Adheres to the birth certificate protocols set forth by the State of Tennessee.
Qualifications
- High School Diploma or equivalent with related course work Required and
- Completion of a clerical or general office program Preferred
- Minimum 1 year experience clerical, customer service, or related experience such as medical office, secretarial, general clerical or customer / guest services. Required
