Massabesic Adult and Community Education has the following vacancy for your consideration:
POSITION: School-Year Administrative Assistant
REPORTS TO: MACE Director
QUALIFICATIONS:
1. HS Diploma or equivalent required
2. Experience in clerical work preferred.
3. Exceptional ethics and adherence to confidentiality.
4. Attention to detail is essential.
5. Past experience in student or customer facing position preferred.
WORKING HOURS: 10:30-6:30pm, Monday through Thursday, 8-4pm Friday
RESPONSIBILITIES:
1. Performs routine office work such as typing, filing photocopying, sending faxes, etc.
2. Maintains financial records including checking accounts, purchase orders, spreadsheets for grants, and various district accounts with integrity.
3. Demonstrates a high level of professionalism and confidentiality.
4. Prepares bi-weekly payroll.
5. Assists with state, local, and federal reporting requirements throughout the fiscal year.
6. Oversees inventory of site materials and office supplies.
7. Handles account receivables/account payables and coordinates with the business office.
8. Attends team/staff meetings for program planning and effectiveness.
9. Completes office errands to the bank and post office, when needed.
10. Sorts/purges old files according to State Records Disposition.
11. Processes checks and course refunds as needed.
12. Processes new hire paperwork and maintains employment records.
13. Creates and maintains work agreements.
14. Coordinates with Driver Education and CDL Instructor to ensure timely and accurate filing of state records. 15. Requests quotes and completes requisitions for class materials, school supplies, technology, etc.
16. Assist with setup and implementation of evening academic and enrichment programming.
17. Perform other duties as may be assigned.
