POSITION: Administrative Assistant – Special Education Department
REPORTS TO: Director of Pupil Services
QUALIFICATIONS:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Previous experience in an administrative support role, preferably in an educational or Special Education setting.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database management.
- Knowledge of state and federal regulations related to Special Education is a plus.
- Knowledge of CT-SEDS platform
- Ability to handle sensitive and confidential information with discretion.
- Strong interpersonal skills and the ability to work collaboratively with a diverse group of individuals.
- Detail-oriented with a high level of accuracy in work.
- Ability to work independently and as part of a team.
JOB DESCRIPTION: The Administrative Assistant for the Special Education program will play a crucial role in supporting the administrative functions of our Special Education department. This position requires a highly organized, detail-oriented, and proactive individual who can manage multiple tasks efficiently. The Administrative Assistant will be responsible for providing comprehensive administrative support to ensure the smooth and effective operation of the Special Education program.
PERFORMANCE RESPONSIBILITIES:
Administrative Support:
- Provide support to the Special Education administration, including scheduling meetings, managing calendars, and preparing correspondence.
- Maintain and update student records, files, and databases in compliance with state and federal regulations.
- Assist in the preparation of reports, presentations, and other documentation as needed.
- Coordinate and manage communications, including phone calls, emails, and in-person inquiries.
Documentation and Compliance:
- Ensure all documentation related to Individualized Education Programs (IEPs) is accurate, complete, and filed appropriately.
- Assist in coordinating and preparing for IEP meetings, including notifying participants and organizing necessary materials as needed.
- Track and monitor compliance with state and federal regulations regarding Special Education.
Coordination and Communication:
- Serve as a liaison between the Special Education administration, parents, teachers, and other stakeholders.
- Facilitate effective communication and collaboration among team members.
- Support coordination with transportation services, external agencies, and other departments as necessary to support student needs.
Financial and Budget Management:
- Assist in monitoring and managing the budget for the Special Education program.
- Process purchase orders, invoices, and reimbursements related to Special Education services.
- Maintain accurate financial records and provide reports as requested.
- Support grant development
Event Planning and Support:
- Assist in planning and coordinating events, workshops, and training sessions for the Special Education department.
- Prepare materials, arrange logistics, and provide on-site support during events.
COMPENSATION: $26.58- $31.05/hour depending on experience, benefits package
TERMS OF EMPLOYMENT: 12 month position
