Our well established orthodontic practice is looking for a Patient Scheduling Coordinator to add to our amazing team! This is an in-person position located at our office in Westford. You will be responsible for providing exceptional customer service to patients and visitors at our practice. This role serves as the first point of contact for patients, answering phone calls, scheduling appointments, managing patient records, and coordinating patient care. The Patient Coordinator works closely with the orthodontist, other staff members, and patients to ensure smooth operations and excellent patient experiences!
Responsibilities:
Patient Communication and Scheduling: Greet patients and visitors in a warm and professional manner, answering phone calls, scheduling appointments, and managing the appointment calendar. Coordinate with patients to schedule and confirm appointments, and provide information regarding treatment plans, fees, and insurance coverage.
Front Desk Operations: Manage the front desk area, including maintaining cleanliness, organization, and supplies. Handle incoming and outgoing mail, manage office equipment, and perform general administrative tasks as needed.
Patient Records Management: Accurately input and maintain patient information in the practice's electronic health record (EHR) system, including patient demographics, insurance information, and treatment details. Ensure patient records are up-to-date, organized, and compliant with relevant regulations.
Patient Relations and Customer Service: Provide exceptional customer service to patients, families, and visitors, addressing inquiries, resolving issues, and managing patient concerns in a professional and compassionate manner. Maintain a positive and welcoming environment for patients, families, and staff.
Team Collaboration: Work closely with the orthodontist, clinical staff, and administrative team to ensure smooth operations and efficient patient flow. Collaborate with colleagues to resolve any patient-related or operational issues, and contribute to a positive team culture.
Qualifications:
- High school diploma or equivalent (some college coursework preferred)
- Previous experience in a dental or medical office setting, with a strong understanding of orthodontic procedures and terminology preferred
- Proficient in using EHR systems, scheduling software, and other office applications
- Excellent communication and interpersonal skills, with the ability to interact with patients, families, and staff in a professional and friendly manner
- Strong organizational and multitasking abilities, with attention to detail and accuracy
- Ability to maintain patient confidentiality and adhere to HIPAA regulations
- Positive attitude, team player, and ability to work in a fast-paced environment
- Bilingual language skills is a plus.
