Position Summary
The registrar provides strategic leadership and oversight of the college's academic records and registration processes, ensuring compliance with college policies, FERPA, and external regulations. Serving as the gatekeeper of institutional academic records and processes, the registrar ensures the retention and security of student records. The registrar meets the benchmarks established by AACRAO. The registrar also maintains the integrity of student systems, oversees transfer credit evaluations, manages student academic records, and supports commencement activities. The registrar is a team player who collaborates with college administrators, faculty, staff and colleagues across the Alabama Community College System to maximize the student experience at Reid State.
Salary: Commensurate with education and experience according to ACCS Board of Trustees Salary Schedule E1/02.
Essential Duties and Responsibilities
- Administer, manage, retain, and secure all permanent and academic records in compliance with ACCS standards, FERPA, college policies, and professional standards.
- Oversee and maintain academic records and enrollment operations in systems such as Banner, DegreeWorks, BDM Xtender, TargetX, and NextGen Dynamic Forms.
- Manage the evaluation and posting of transfer credits, test scores, and prior learning assessments, including military credits.
- Establish and oversee beginning- and end-of-term processes such as honors lists, academic progress (probation, satisfactory progress), degree coding, grade collection, incomplete grades, grade changes, GPA calculations for nursing students, and course schedules.
- Oversee all graduation processes, including application processing, eligibility verification, degree audits, reverse transfers, credential awarding, preparation of graduation programs, ordering/mailing diplomas, and commencement coordination with administration, faculty, and staff.
- Facilitate add/drop, withdrawals, repeat/replace processing, enrollment verification, academic forgiveness, course load adjustments, and non-attendance/non-payment drops.
- Assist students and train staff in navigating processes related to registration, academic records, transcript requests, and degree plans.
- Supervise degree audits, graduation certification, and commencement activities.
- Process transcript requests for incoming and outgoing credentials, including terminations, withdrawals, re-enrollments, and schedule changes in a timely manner.
- Serve as a liaison for commencement planning with administration, faculty, and staff, and participate in student orientation and other student engagement activities.
- Provide verification and certification of enrollment for students and other agencies.
- Update and assist in maintaining the college catalog, student handbook, and academic calendar.
- Monitor institutional compliance with FERPA, including responding to subpoenas, maintaining confidentiality of student records, and annually notifying students, faculty, and staff of FERPA requirements.
- Assist with operations supporting athletic eligibility rosters and serve as a resource for academic progress reporting.
- Manage the Records Office’s annual budget.
- Ensure the integrity of processes used to create and maintain academic records.
- Actively participate in committees, professional development, and campus activities.
- Demonstrate ethical behavior, loyalty, honesty, and integrity on and off campus.
- Participate in systemwide professional development, including regular Student Services training (virtually and in-person) and annual workshops.
- Perform other duties as required by the President and Dean of Students.
Qualifications
- Associate degree or higher from a regionally accredited college or university.
- Minimum of five (5) years’ work experience in Admissions, Records, Registration, or Advising in an accredited higher education setting.
- Strong computer skills (Excel, Word, Microsoft Office Suite, etc.).
- Experience in the administration of a comprehensive office of registration and records and online student information systems, customer relationship management (CRM) and data systems and software such as but not limited to Banner, NeoEd, and Salesforce/TargetX.
- Experience with higher education academic records policies and practices and records retention and security.
- Excellent interpersonal and communications skills.
- Experience in the collection, management and analysis of higher education data in systems such as ARGOS, Clearinghouse, IPEDS, NSLDS, Parchment, DAX, etc.

Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA.
