Job Summary:

Rejuvenate Health and Wellness is seeking a seasoned Certified Medical Assistant with a minimum of 5 years of experience to lead and manage the day-to-day operations of our integrative health clinic. The ideal candidate is a proactive team player with leadership potential, excellent clinical and administrative skills, and the ability to work collaboratively in a hybrid team environment that includes remote staff. This role will play a key part in providing exceptional patient care and ensuring operational efficiency.

Key Responsibilities:

Clinic Leadership and Operations Management:

  • Oversee and coordinate daily clinic operations, ensuring the team adheres to schedules and workflows.
  • Serve as the go-to leader for both on-site and remote staff, fostering a positive and collaborative environment.
  • Monitor clinic readiness each morning, including opening procedures, cleanliness, and organization of exam rooms and front office areas.
  • Ensure compliance with clinic policies, protocols, and state regulations.
  • Train and mentor new staff members, ensuring a high standard of patient care and operational efficiency.

Front Office Responsibilities:

  • Greet patients warmly and ensure a professional, welcoming atmosphere.
  • Manage appointment scheduling for consultations, labs, and follow-ups, utilizing EHR systems such as Charm, Athena, or Practice Better.
  • Verify patient insurance information, explain payment options (self-pay vs. insurance), and handle payment collection.
  • Track and follow up on patient forms using Jotform and Slack, ensuring forms are completed prior to appointments.
  • Communicate effectively with patients via phone, email, and text to confirm appointments, send reminders, and answer inquiries.

Back Office Responsibilities:

  • Prepare exam rooms by cleaning, restocking supplies, and setting up necessary equipment for daily appointments.
  • Perform clinical tasks, including rooming patients, taking vitals (height, weight, blood pressure, pulse oximetry, and temperature), and documenting chief complaints.
  • Administer in-office injections, draw labs, and perform body composition analyses.
  • Support hormone replacement therapy procedures, including preparing and sterilizing instruments for pellet insertions.
  • Document and track all patient interactions, treatments, and procedures accurately in patient records.

Specialized Services Support:

Hormone Replacement Therapy (HRT):

  • Guide patients through HRT consultations, lab requirements, and treatment plans.
  • Prepare sterile procedure trays for hormone pellet insertions and ensure instrument availability and maintenance.
  • Provide post-procedure follow-up, including scheduling lab reviews and monitoring patient progress.

Weight Loss Management:

  • Conduct discovery calls to assess patient goals and fit for weight loss programs.
  • Schedule and facilitate in-person assessments, ensuring patients complete all necessary forms and questionnaires.
  • Administer weight loss injections, monitor patient progress, and adjust treatment plans as needed.
  • Collaborate with the provider, health coach, and nutritionist to implement patient-centered plans.

Functional Medicine Services:

  • Assist patients seeking primary care, chronic disease management, and functional health consultations.
  • Schedule referrals, manage orders, and provide documentation for labs, imaging, and other treatments.

Inventory and Sterilization Management:

  • Maintain a well-stocked inventory of medical supplies, including hormone pellet kits, injection supplies, and cleaning materials.
  • Oversee the cleaning, sterilizing, and autoclaving of instruments daily, ensuring compliance with sterilization protocols.
  • Proactively manage supply levels, reordering as needed to avoid shortages.

Team Collaboration:

  • Effectively communicate with remote staff, ensuring seamless collaboration across all clinic functions.
  • Participate in team meetings, sharing updates and identifying areas for improvement in clinic operations.
  • Provide leadership support to ensure all team members are meeting performance standards and delivering exceptional patient care.

Required Qualifications:

  • Certification: Current Certified Medical Assistant (CMA) certification.
  • Experience: Minimum of 5 years of experience as a Medical Assistant, preferably in an integrative health, functional medicine, or weight loss clinic.
  • Leadership Skills: Proven ability to manage clinic operations, mentor team members, and ensure a high-functioning work environment.
  • Technical Proficiency: Strong knowledge of EHR platforms (Charm, Athena, or Practice Better), Slack, Jotform, and Zoom.
  • Clinical Expertise: Skilled in performing injections, drawing labs, sterilizing instruments, and assisting with procedures.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with patients and team members.
  • Organizational Skills: Exceptional ability to multitask, prioritize responsibilities, and ensure deadlines are met.
  • Customer Service: Commitment to delivering compassionate, patient-centered care.

Preferred Skills:

  • Experience in hormone replacement therapy, weight loss management, or functional medicine.
  • Familiarity with managing hybrid teams, including remote staff.
  • Strong problem-solving skills and ability to adapt to a fast-paced clinic environment.

Work Environment:

  • Location: On-site in Anchorage, AK.
  • Schedule: Full-time position with flexibility to accommodate clinic needs.
  • Physical Requirements: Ability to lift up to 25 lbs, stand for extended periods, and manage the physical demands of a clinical environment.
