About the Role - Seeking an exceptional Senior EA who is highly proactive, detail-oriented, and thrives in high-pressure environments. The ideal candidate will be a strategic partner, ensuring the executive's time is optimized, priorities are managed, and operations run seamlessly. This is not a traditional administrative role—it’s an opportunity to work alongside a top leader, making high-level decisions and driving efficiency. Responsibilities -
- Time & Calendar Management
- Manage complex scheduling (e.g. in person, virtual, hybrid meetings) across multiple time zones, ensuring seamless coordination.
- Prioritize competing demands and act as a gatekeeper to optimize the executive’s time.
- Anticipate scheduling conflicts and proactively resolve them.
- Operations & Workflow Optimization
- Act as a key point of contact between the executive and internal/external stakeholders.
- Streamline workflows, prioritize tasks, and ensure follow-ups are executed.
- Manage high-level business correspondence, memos, and reports.
- Travel & Logistics Management
- Coordinate global travel (flights, cars, hotels, visas, ground transportation) with precision.
- Prepare detailed travel itineraries, ensuring efficiency and contingency planning.
- Liaise with client sites to set up A/V, conference room usage, etc. Prepare printed materials (e.g. decks, presentations) as well.
- High-Stakes Communication
- Handle confidential information with discretion and professionalism.
- Draft emails, meeting notes, and presentations on behalf of the executive.
- Represent the executive in meetings, ensuring key takeaways are documented and actioned.
- Strategic Support & Business Acumen
- Be involved in high-level decision-making and provide strategic support.
- Assist with research, special projects, and business initiatives.
- Manage executive priorities, ensuring alignment with business objectives.
