Are you an organized, self-motivated individual with a passion for supporting both caregivers and clients? We’re seeking a Home Care Assistant who will take on responsibilities typically associated with an office manager—overseeing day-to-day operations, coordinating schedules, and fostering a positive, supportive work environment. If you enjoy multitasking, problem-solving, and using your people skills to keep a home care agency running smoothly, we’d love to hear from you!

Position Overview

As our Home Care Assistant, ensuring that the scheduling, communication, and administrative tasks that keep our home care services running are handled effectively. You’ll also collaborate closely with caregivers and supervisors to uphold our commitment to high-quality, consistent client care.

Key Responsibilities:

  • Scheduling & Care Coordination
  • Manage and update caregiver-client schedules, ensuring adequate coverage for all shifts.
  • Respond to call-offs or urgent changes, finding quick solutions to keep client care uninterrupted.
  • Communicate scheduling adjustments to caregivers and clients promptly.
  • Administrative Duties
  • Maintain orderly records of client and caregiver information in our database.
  • Oversee documentation for compliance with state and agency regulations (timesheets, incident reports, etc.).
  • Prepare and organize reports, correspondence, or other clerical tasks needed by the leadership team.
  • Caregiver Support & Mentorship
  • Act as the first point of contact for caregivers who have questions or face work-related challenges.
  • Offer constructive feedback, encouragement, and guidance to help caregivers grow in their roles.
  • Collaborate with the leadership team to develop training resources or staff development programs.
  • Quality Assurance & Client Satisfaction
  • Conduct periodic check-ins to ensure caregivers are following established care plans and upholding our standards of respect and safety.
  • Gather feedback from both caregivers and clients to identify areas for improvement in service delivery.
  • Escalate client concerns or significant observations to supervisors for timely resolution.
  • Policy Implementation & Resource Management
  • Uphold and communicate office policies that promote a respectful, positive culture.
  • Manage basic office supplies, scheduling software updates, and other operational tools to keep day-to-day tasks running efficiently.
  • Ensure all staff understand and follow zero-tolerance policies regarding disrespect or client neglect.

Ideal Candidate Profile

  • Strong Organizational Skills: Able to handle multiple priorities, such as scheduling changes, caregiver inquiries, and administrative documentation, with poise and accuracy.
  • Excellent Communicator & Team Player: Enjoys interacting with staff at all levels—listening to concerns, resolving conflicts, and celebrating successes.
  • Problem-Solver: Able to think on your feet, particularly when last-minute schedule changes or client emergencies arise.
  • Empathetic & Supportive: Committed to building trust with caregivers and ensuring clients receive compassionate, quality service.
  • Experience Preferred: Background in home care, healthcare administration, or customer service is beneficial. We welcome those who have worked as caregivers, CNAs, or administrative coordinators—anyone who understands the nuances of caring for clients.

Why Join Our Team?

  • Impactful Role: Your organizational and interpersonal skills will help create a stable, fulfilling environment for both caregivers and clients.
  • Growth Opportunities: We encourage professional development, offering training and mentorship to help you expand into higher-level administrative or supervisory positions.
  • Positive Work Culture: Our agency values open communication, mutual respect, and collaboration, ensuring you feel supported in your day-to-day responsibilities.
  • Rewarding Environment: You’ll directly contribute to the well-being of our clients and the success of our caregiving team.
