An established Pain Management practice is looking for a skilled Front Desk Receptionist/Back Office Support Staff for our Oakland location. This role is perfect for someone who thrives in a dynamic setting where the ability to juggle multiple tasks is essential. Please note position requires a training period at our San Mateo location
Job Duties include:
- Administrative assistant with Front Desk and Back Office duties
- Welcome and check-in patients
- Schedule medical appointments for all providers within the practice.
- Screens medical appointments for patients as needed by phone or in the office.
- Coordinates the availability of multiple providers and locations.
- Confirms correct appointment to be scheduled as necessary by chart or referral review.
- Act as liaison between assigned provider and patients
- Processing of reports and procedure/medical requests
- Data entry into Electronic Health Record
- Coordinates the availability of provider within different locations.
- Confirms correct appointment to be scheduled as necessary
- Alerts appropriate staff when for all physician schedule changes. Reconciles provider schedules
- Provides scheduling decisions, which improve and maximize overall system efficiencies and increase appropriate utilization
- Makes patients, their families and physicians their primary focus
- Develops and sustains productive working and patient relationships.
- Actively seeks information to understand patient circumstances, problems, expectations
Mandatory qualifications:
- Detail oriented and sense of urgency as a lot of things reports/records need to be processed on time frames/deadlines
- Excellent interpersonal skills
- Excellent verbal and written communication skills
- Demonstrated ability to organize and prioritize tasks/duties as assigned.
- Medical terminology
- Strong computer skills
- Ability to multi-task in a fast-paced environment
Strongly preferred qualifications:
- 2-3 years experience as a Medical administrative assistant in an outpatient medical clinic
- Experience working in a medical office
- Experience working with Workers Compensation
- Experience working with medical insurances, Medicare and law offices
- Bilingual (Spanish/English)
- Part-time availability with a willingness for long-term commitment
- Electronic Health Records experience (IMS)
- Experience working in a pain office preferred, but not mandatory
- Compensation will be based on experience
