Job Title: Assistant Project Manager
Location: Trenton, New Jersey
Hourly Rate: $35 - $40 per hour
Position Summary: The Assistant Project Manager (APM) will support the Project Manager in planning, coordinating, and executing transportation capital projects. The APM will manage project schedules, budgets, scopes, and quality assurance throughout the project delivery process. Additionally, the APM will assist with cloud-based Project Management & Reporting System (PMRS) applications, including Trimble Unity Construct (e-Builder).
Key Responsibilities:
Project Planning & Management:
- Develop and maintain project schedules to ensure timely completion in alignment with the project delivery process.
- Monitor schedule activities, identify delays, and implement recovery plans to mitigate slippage.
- Assist in managing project scope, schedule, and budget while ensuring compliance with change management policies.
- Oversee budget planning and adjustments to prevent cost overruns and unnecessary obligations of funds.
- Maintain quality assurance by coordinating with designers, subject matter experts, and stakeholders to resolve project issues.
Project Execution & Stakeholder Coordination:
- Assist in managing project changes, ensuring alignment with scope-of-work requirements and stakeholder expectations.
- Monitor and support utility accommodations and jurisdictional agreements to ensure timely project delivery and compliance.
- Participate in construction inspections, review change orders, conduct final inspections, and assist in project close-out procedures.
- Develop and support community outreach and communication plans to ensure transparency with stakeholders.
Reporting & Compliance:
- Update and maintain project management databases, including the Project Reporting System (PRS), PMRS, and Potential Event Reports.
- Prepare and submit correspondence, requests for information, and project status reports to the Project Manager and stakeholders.
- Ensure environmental compliance by coordinating with environmental personnel for document approvals and permit acquisition.
- Identify Right-of-Way (ROW) impacts before finalizing plans, collaborating with ROW divisions and district offices.
Technology & Process Improvement:
- Assist in managing and troubleshooting the Trimble Unity Construct (e-Builder) cloud-based PMRS application for project tracking and reporting.
- Provide help desk support, including password resets, system troubleshooting, and resolving online production issues.
- Support automated process development by gathering business requirements, creating workflow processes, and conducting research and testing.
- Utilize project scheduling software, including Primavera, to support project timeline management.
- Conduct training sessions to enhance the project management team’s skills.
Required Skills & Qualifications:
- Experience in transportation project management and familiarity with the capital project delivery process.
- Knowledge of project scheduling tools (e.g., Primavera), budgeting, and quality assurance in a transportation infrastructure environment.
- Ability to analyze technical project documents, ensuring accuracy, reasonableness, and compliance with policies.
- Proficiency in cloud-based project management systems (e.g., PMRS/e-Builder), with experience troubleshooting software-related issues.
- Strong ability to coordinate with multiple stakeholders, including designers, contractors, government agencies, and community members.
- Understanding of federal and state transportation regulations, environmental requirements, and right-of-way considerations.
- Excellent written and verbal communication skills for reporting, documentation, and stakeholder engagement.
Preferred Qualifications:
- Experience with construction inspection, contract management, and public outreach initiatives.
- Familiarity with access design processes, ROW policies, and environmental compliance requirements.
- Ability to manage multiple projects while ensuring adherence to deadlines and project goals.
Project Types: The Assistant Project Manager may be assigned to a variety of transportation capital projects, including:
- Highway safety improvements (e.g., rumble strips, guide rail installations, intersection enhancements)
- Pavement projects (e.g., preservation, resurfacing, reconstruction, concrete rehabilitation)
- Bridge and interchange projects (e.g., deck replacement, superstructure replacement, major rehabilitation)
- Specialized projects (e.g., rockfall mitigation, dam restoration, ADA compliance, sign structure upgrades)
