Position: Executive Assistant – Temporary Assignment (3-4 Months Minimum)
Reports to: Executive Vice President, Chief People and Culture Officer
Location: Washington, DC (On-site)
Position Summary
We are seeking a highly skilled and detail-oriented Executive Assistant to provide high-level administrative support to C-level executives (excluding the President & CEO). This role requires managing schedules, coordinating meetings, handling sensitive communications, and preparing reports in a fast-paced environment. The ideal candidate will play a key role in enabling the executives' strategic focus by ensuring seamless administrative operations.
Core Responsibilities
- Manage complex calendars, coordinate appointments, meetings, and events to optimize time efficiency.
- Arrange travel itineraries, including flights, accommodations, ground transportation, and logistics.
- Prepare and manage expense reports and reimbursements, ensuring compliance with organizational policies.
- Handle sensitive and confidential documents; draft, review, and edit reports, memorandums, presentations, and proposals for accuracy and tone alignment.
- Assist in project management, track progress, and facilitate communication with multiple teams to meet strategic goals; take meeting minutes and ensure follow-up on action items.
- Ensure the highest level of discretion and confidentiality in handling sensitive information; track action items and issues to resolution with accountability.
- Identify opportunities to improve workflows, enhance efficiency, and support executives’ productivity.
- Address urgent matters, resolve issues, and make decisions in the absence of executives.
- Provide additional administrative support, including personal tasks for the executives as needed.
Required Education and Experience
- High school diploma or equivalent required; bachelor’s degree preferred.
- 5–7 years of experience providing executive-level support.
Required Skills and Abilities
- Proven experience creating and developing administrative reports, presentations, and databases.
- Strong expertise in managing multiple schedules and calendars.
- Demonstrated ability to anticipate needs and solve problems autonomously.
- Experience managing office logistics and supporting complex administrative operations.
- Nonprofit or small office experience (professional or volunteer) is a plus.
- Advanced proficiency with workplace technology, including administrative software, databases, and Salesforce.
- Exceptional organizational skills, with the ability to manage complex and confidential information while exercising sound judgment and solution-oriented decision-making.
- Strong analytical and problem-solving capabilities.
- Excellent time management skills with the ability to prioritize multiple tasks and meet tight deadlines in a fast-changing environment.
- Outstanding written and verbal communication skills, with a professional demeanor.
