Job Title: Accounting Business Services Administrator

Salary: $55,000 - $62,000 per year
Responsibilities:
• Bookkeeping & Financial Record Management:
o Manage and maintain the company’s financial records, ensuring accurate and timely entry of all transactions.
o Reconcile bank statements and ensure proper documentation of financial transactions.
o Maintain the general ledger and ensure accuracy in reporting.
• Payroll Processing:
o Process employee payroll, ensuring compliance with tax laws, company policies, and deadlines.
o Review timesheets and payroll data to ensure accuracy and resolve discrepancies.
o Maintain and update payroll records securely.
• Financial Statement Review:
o Review financial statements for accuracy and compliance with accounting standards.
o Prepare monthly, quarterly, and annual financial reports for management.
o Identify and address discrepancies or issues in financial statements.
• Audit Support:
o Assist with internal and external audits by providing required documentation and clarifications.
o Ensure all financial records are organized and in order for audit purposes.
o Collaborate with auditors to resolve any identified issues.
• Accounting Compliance & Process Improvement:
o Ensure compliance with accounting policies, as well as local, state, and federal tax regulations.
o Identify and implement process improvements to enhance accounting operations.
• Collaboration & Communication:
o Work with cross-functional teams to ensure alignment of financial processes with company objectives.
o Communicate financial updates and any changes to management and team members.
Administrative Duties:
o Coordinate and maintain accounting and financial filing systems, ensuring that all documents are easily accessible and properly organized.
o Prepare and manage invoices, purchase orders, and vendor payments.
o Schedule and organize meetings related to accounting matters, including audits, department reviews, and training.
o Assist in preparing and submitting tax filings and reports.
o Handle general office duties such as responding to inquiries, maintaining office supplies, and organizing workflow for the finance department.
o Monitor and ensure the smooth operation of the accounting office, including overseeing administrative assistants and other support staff.
o Assist with office budgeting, providing administrative support for the department’s financial planning.
• HR Duties (Onboarding, Month-End Reporting, etc.):
o Onboard new hires, ensuring all necessary paperwork is completed and processed.
o Prepare month-end reports, including state withholding taxes, workers' compensation reporting, new hire reports, and child support reporting.
o Assist with other HR-related administrative functions, as needed.
• Procurement Duties:
o Produce purchase orders (PO’s) as needed for company operations and manage associated documentation.
Requirements:
Education:
o Bachelor’s degree in Accounting, Finance, or a related field (or equivalent experience).
Experience:
o 3 years of experience in accounting, bookkeeping, payroll management, or a related role, with a focus on financial statement review and audit assistance.
Skills:
o Strong knowledge of accounting principles and financial reporting.
o Proficiency with accounting software (e.g., QuickBooks, Microsoft Excel).
o Strong attention to detail and analytical skills.
o Ability to manage multiple tasks and meet deadlines.
