Part Time Air Import Operations Coordinator
Pay : $20 per hour
Hours : Monday-Friday 9a-2p
General Position Summary
The Air Import Operations Coordinator is responsible for managing activities related to the importation of shipments via ocean or air, ensuring customs clearance and efficient logistics processes. Responsibilities vary depending on branch location and specific assignments, encompassing essential job functions and administrative tasks as outlined below.
Essential Job Functions
Part-Time Air Import Operations
Communicate with customers to gather required information, respond to requests, and provide updates.
Access and review customer EDI systems for additional details.
Coordinate with carriers, steamship lines, or airlines to obtain arrival schedules and shipment statuses.
Issue arrival notices to customers and coordinate with customs brokers when necessary.
Prepare customs or in-bond documentation and arrange delivery as needed.
Expedite shipment breakdowns and cargo release by issuing pre-alerts and urgent communications.
Release shipments upon receipt of the original bill of lading or payment.
Arrange special deliveries with trucking firms and handle Proof of Delivery (POD).
Notify brokers of shipment arrivals and ensure document coordination.
Invoice shipments within five days of delivery.
Administrative Tasks
Create and manage import files, including inputting freight, terminal fees, and additional charges.
Generate debit invoices for customers and issue corresponding documentation.
Assemble import brokerage and clearance documents for invoicing and customs records.
Process and manage document pouches, consolidate shipments, and prepare manifests as required.
Handle T.E. entries, delivery orders, and entry authorization letters.
Maintain and update reports and spreadsheets as required.
Scan, organize, and file all documentation for accurate record-keeping.
Additional Responsibilities
Continuously seek improvements in efficiency and cost-effectiveness within workflows.
Perform special projects and other miscellaneous duties as assigned by management.
Uphold high ethical standards in all work-related activities.
Report irregularities or issues to management and propose solutions.
Maintain clear and professional communication with internal and external stakeholders.
Comply with all company policies and procedures while ensuring a safe and clean work environment.
Support domestic shipment activities when required.
