Description

The Event Manager oversees the event process at the Reno-Sparks Convention Center. Responsible for providing professional client services support in the planning, organization, and management of events within the facility, monitoring the logistics of these events, supervising all staff and functions during event, and all event coordination tasks after events are booked through the conclusion.

JOB DUTIES AND RESPONSIBILITIES:

  • Meets and consults with client groups to plan and organize assigned meetings and/or events.
  • Coordinates activities with the client, various service contractors and operations teams for assigned meetings and/or events.
  • Guides clients in preparation of events by interpreting and explaining contract provisions, policies and procedures.
  • Keeps clients informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details.
  • Follows up on outstanding payments prior to the event.
  • Responsible to directly assign tasks to all Event Staff.
  • Responsible for communicating event details to all required internal and external contacts to ensure events are effectively coordinated to meet and exceed customer expectations.
  • Prepares cost estimates and monitors final billing adding in additional expenses where needed and closes out and creates final invoice after the event ends.
  • Provides clear, concise, and timely communication of detailed requirements to operational departments.
  • Oversees all aspects of facility operations related to events.
  • Has a thorough understanding of building specific events (meetings, conventions, tradeshows, banquets, sporting events, and tournaments).
  • Monitors and supervises facility set-up when necessary.
  • Serves as primary liaison between clients and facility departments during all phases of planning the event, during the event and closing the event.
  • Produces event orders, reports, diagrams, etc.., outlining event requirements concerning facilities, equipment, catering needs, etc.
  • Monitors in-house events, maintaining close contact with clients and facility staff to ensure successful events.
  • Timely and courteous follow-up on all client requests, concerns, and problems.
  • In conjunction with other departments, ensures all event requirements have been implemented according to RSCVAs quality standards. Works with staff and others to resolve any outstanding issues.
  • Attends appropriate planning, organization and other event and facility meetings in support of facility operations.
  • Ensures customer satisfaction throughout event planning process and during event.
  • Act as MOD during Events
  • Always maintains high standards, positive attitude, professional appearance, and work ethic.
  • Perform other duties as assigned or requested.

Qualifications


JOB QUALIFICATIONS:

  • Bachelor's degree (B. A.) from four-year college or university or 3 to 5 years hospitality or related experience and/or training. Equivalent combination of education and experience is also acceptable.
  • Working knowledge of the principles of facility management, services, and equipment for similar facilities.
  • Facility/industry experience preferred.
  • Knowledge of the capacity and capabilities of the Convention Center or similar venue.
  • Knowledgeable in recent developments, current literature, and sources of information regarding various types of events (concerts, tournaments, conventions, sporting events, etc).
  • Must be familiar with various organizational function principles including administration, principles of supervision, and personnel practices and techniques, including review techniques, and training methods.
  • Knowledge of contract administration, rental agreements, language, terms, and legal concepts.
  • Knowledge of safety requirements for public assembly, and fire and safety regulations.
  • Knowledgeable in the rules and regulations relating to public health and safety in large facilities.
  • Knowledge of set-up and tear down requirements for tournaments, conventions, and various events.
  • Proficient in basic computer skills and software programs including but not limited to Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to prioritize multiple projects.
  • Excellent written and oral communication skills with the ability to effectively communicate with staff, superiors, visitors, clients, vendors, and the public.
  • Must be highly motivated and self-directed, detail oriented, meet established deadlines, and be professional in performance of duties.
  • Excellent organizational, planning, and interpersonal skills required.
  • Ability to demonstrate problem-solving skills.
  • Ability to work long and irregular hours that may vary due to functions and may include day, evening, weekends and holidays.
  • Possess a valid Nevada Drivers License.

PHYSICAL REQUIREMENTS:

  • Regularly required to move around the facilities and walk, sit, bend (at neck and waist), twist, talk, and hear.
  • Frequently required to stand for long periods of time during events.
  • Occasionally required to reach with hands and arms.
  • May require work inside or outside of the building as needed by events.
  • Specific vision abilities required include close, distance, color, and peripheral vision, depth perception, and the ability to adjust focus.

WORKING CONDITIONS /ESSENTIAL FUNCTIONS:

  • May be exposed to various temperatures inside the building and outside the building, airborne particles, and fumes.
  • The noise level in the work environment is usually moderately quiet while in the office, or moderately noisy when in the field.
