Confidential Assistant to the Legal Unit
Position Description:
Confidential position and supports the County Attorney’s Office and attorneys, as assigned, including one or more attorneys within the County Attorney’s Office supporting the Department of Social Services. Incumbent will be responsible for performing highly sensitive, difficult, and secretarial and paralegal duties for this office. The Confidential Assistant processes a variety of confidential data and information pertaining for the office, including child protective and foster care matters, and may perform from time to time, as needed, receptionist duties including answering the phone, directing calls to appropriate personnel, sorting, scanning and distributing mail.
Typical Work Activities: (Illustrative only)
Acts as administrative assistant to attorneys within the office, as assigned, while using judgment and experience in making decisions in accordance with established policies and procedures; Pulls case files as needed for Family Court and assists in the preparation of files for fair hearings; Researches information needed for Family Court with respect to child protective cases and liens; Maintains legal records including but not limited to petitions files, court outcomes and fair hearings; Answers departmental telephone, provides information to callers, takes messages and forward calls when necessary; Receives, date stamps, sorts, scans and distributes departmental mail; Maintains complete and accurate electronic and hard copy files of correspondence and documents for the departmental needs; Copies materials for departmental needs; Performs other duties as assigned.
Performance:
Dependable; Excellent organizational skills; Working knowledge of office practices and procedures; Strong knowledge of Microsoft Office: Word, Excel, Access, Outlook and Adobe Acrobat software; Uses judgment in solving clerical problems and ability to prioritize tasks; Proactive; Ability to work independently and as a team-player.
Qualifications:
- High School Graduate or High School Equivalency Diploma
- 2 Years of law office paralegal experience preferred
- Notary Public or will take Notary Public exam within 60 days of hire
