Position Summary:

The Business & Operations Associate supports day-to-day business functions, ensuring smooth operations and assisting with administrative, customer service, and logistics-related tasks. This role requires a proactive individual with strong business acumen, organizational skills, and the ability to adapt to dynamic business needs.

Key Responsibilities:

Operations & Customer Support (40%)

  • Handle reception, answer phones, respond to emails, and assist customers with inquiries.
  • Oversee rental check-in/check-out processes, ensuring all prerequisites are met (e.g., insurance, damage protection, payment, upsells).
  • Conduct renter due diligence and verification procedures.
  • Prepare rental units for customers, including basic maintenance, inventory management, and cleaning.
  • Track inventory levels and assist with purchasing and vendor management.

Administrative & Business Support (30%)

  • Manage daily schedules, including employee and rental scheduling.
  • Assist with HR-related tasks such as onboarding, employee communications, and administrative support.
  • Generate reports and track key performance indicators (KPIs) for business performance.
  • Maintain and organize business records and operational data.
  • Provide real-time assistance to executives and team members as needed.

Marketing & Business Development (20%)

  • Assist with social media content creation and online presence management.
  • Support business development initiatives, including researching acquisition targets.
  • Identify opportunities for process improvement and efficiency.
  • Participate in strategic planning sessions and contribute insights to business growth strategies.

Special Projects & Miscellaneous (10%)

  • Execute ad hoc assignments as needed to support business operations.
  • Assist in developing SOPs and operational workflows.
  • Engage in training and development to expand responsibilities over time.

Experience and Qualifications:

Required

  • Minimum 2 years of experience in a professional business environment.
  • Strong communication skills, both written and verbal.
  • High proficiency with technology and business software tools.
  • Strong business acumen and ability to analyze operational needs.

Preferred

  • Bachelor’s degree in Business or related field.
  • Experience in rental operations, logistics, or business administration.
  • Prior experience handling customer inquiries and resolving issues.
  • Knowledge of social media content creation and digital marketing.

Key Performance Indicators:

  • Task Completion Rate: Percentage of assigned tasks completed within deadlines.
  • Process Improvement Implementation: Number of identified and successfully implemented process improvements.
  • Accuracy of Inventory Management: Number of discrepancies in inventory tracking and management.
  • Rental Turnaround Time: Average time taken to prepare and check in/out rental units.
  • Customer Satisfaction Score (CSAT): Measured through post-interaction surveys or feedback.
  • Response Time to Customer Inquiries: Average time taken to respond to customer calls/emails/messages.
  • Customer Issue Resolution Time: Average time taken to resolve customer complaints or rental issues.
  • Upsell Conversion Rate: Percentage of rentals with successfully added upsells (e.g., insurance, additional rental items).
  • Billing & Payment Accuracy: Number of billing/payment errors or discrepancies.
  • Compliance Rate for Prerequisites: Percentage of rentals where all required documentation (e.g., insurance, damage protection, full payment) is verified before check-out.
  • Social Media Engagement Rate: Measured by interactions (likes, shares, comments) per post.
  • Lead Conversion Rate for New Business Opportunities: Percentage of identified leads that result in actionable business outcomes (e.g., acquisition target meetings, partnerships).
  • Employee Self-Assessment Score: Internal measure of engagement and job satisfaction.
  • Team Collaboration & Feedback Score: Based on peer and management evaluations.
  • Attendance & Punctuality Rate: Percentage of shifts attended without tardiness or absences.

Schedule and Work Environment:

  • Some weekend or evening availability may be required during peak rental seasons.
  • Ability to work in a fast-paced, dynamic environment.

Pay Range:

  • Full-Time: $15 - $34 per hour (based on qualifications and experience)
  • Part-Time: $12 - $30 per hour (based on qualifications and experience)
