Key Responsibilities
Scheduling & Coordination:
- Create, manage, and adjust daily schedules for Field Service Technicians based on customer requests, technician availability, and service priorities.
- Assign tasks to technicians considering location, skills, and workload to maximize efficiency.
- Monitor real-time schedules and make adjustments to address delays, cancellations, or emergency service requests.
- Working directly with technicians via Service Pro., email and phone
- Serve as the primary point of contact between customers and technicians, ensuring clear communication regarding appointments, delays, or changes.
- Strong communication and organizational skills
- Work closely with the operations team and management to ensure seamless service delivery and efficient use of resources.
- Quickly identify and resolve scheduling conflicts or issues, including rescheduling due to technician availability, customer requests, or unforeseen circumstances.
- Coordinate with the inventory team to ensure technicians have necessary parts and tools before dispatch.
- Track and report technician productivity, service completions, and any schedule discrepancies.
- Fulfilling parts requests and ensuring parts are correct
- Physically picking parts, packing and shipping items
- Maintain accurate records of service calls, appointments, and technician activities in the scheduling system.
- Generate daily, weekly, and monthly reports on scheduling efficiency and service metrics.
- Track and monitor the progress of service appointments to ensure adherence to scheduled times and adjust schedules as needed to address any delays or emergencies.
- Address and resolve scheduling conflicts, customer complaints, and field-related issues promptly.
- Proactively identify opportunities for process improvement to enhance service delivery.
Education:
- High School Diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or a related field preferred.
- 2 years of experience in scheduling, dispatching, or coordinating field service teams.
- Experience with scheduling or workforce management software (e.g., Service Pro, NetSuite) is a plus.
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Ability to remain calm under pressure and handle urgent situations efficiently
- Primarily office-based with standard business hours.
- Occasional need for extended hours or on-call availability to manage emergencies or high-demand periods.
- Fast-paced environment requiring quick decision-making and adaptability.
