Job Description
POSITION: Administrative Assistant
SUPERVISED BY: Executive Director
CLASSIFICATION: Part-time - Tuesday, Wednesday, & Thursday or as determined by
Executive Director, Hourly
QUALIFICATIONS:
Must be professional and courteous with the ability to multi-task. Experience in mental health billing/credentialing and PIMSY experience preferred. Must have a high school diploma and prefer two years minimum experience. Some college preferred along with experience Reconciling EOB's, Basic Office Skills, and Scheduling Correspondence.
Must be able to work a flexible schedule.
GENERAL STATEMENT OF DUTIES:
This position is responsible for assisting clients, maintaining files, billing, and maintaining compliance and credentialing with all funding sources (e.g. Juvenile Court, MCOs, insurance companies) and the Division of Mental Health and the Department of Medical Assistance.
SPECIFIC DUTIES:
Assisting Clients
- The Administrative Assistant will answer the telephone and assist/direct clients appropriately.
- The Administrative Assistant will check in and collect monies for groups and individual co-pays.
- The Administrative Assistant will print group tickets and other items needed for group programs and individual clients.
Billing
- The Administrative Assistant will admit clients in accordance with all mental health and Repay, Inc. standards.
- The Administrative Assistant will audit all medical record charts for compliance on a quarterly basis.
- The Administrative Assistant will ensure that medical records are kept confidential and secure at all times.
- The Administrative Assistant will verify client financial eligibility and relay this information in writing to the Finance Officer. If there is a change then the Finance Officer will be notified. If there is a problem then the Billing Coordinator will immediately notify the Finance Officer and the Therapist.
- The Administrative Assistant is responsible for all MCO (Managed Care Organizations), Insurance, Medicaid, etc., funded data entry, authorization requests and claim entry within the published time frames.
- The Administrative Assistant will create the invoice used to bill Federal Probation.
- Reconciling EOB's.
Additional Duties
- The Administrative Assistant is responsible for providing the Executive Director with data needed to complete the NC Allies System data entry.
- The Administrative Assistant will complete other tasks as assigned by the supervisor.
- The Administrative Assistant will work a schedule approved by the supervisor to assure coverage of the front office.
- The Administrative Assistant will assist with other office duties as needed.
PHYSICAL REQUIREMENTS:
This is sedentary work which requires sitting most of the time with the addition of the following basic requirements; must be able to lift up to 10 pounds; must be able to communicate effectively with clients; must have a valid driver's license and/or access to transportation; must be able to read and prepare computer documents.
