About the role

Reporting to the Chief Financial Officer (CFO), the Reporting and Compliance Manager will develop, manage and report on the organization’s annual operating budget by providing a wide range of analytical support to the financial operations.This position will help the CFO to assess, create, update, and implement policies, procedures, and standards to ensure compliance with standard operating procedures, laws and regulations. The Reporting and Compliance Manager will also work with and communicate directly with the Development department, budget owners and internal stakeholders on all financial issues relating to financial performance of programs and departments. This position will also ensure that the activities of the organization are in compliance with local/national laws, ethical standards and regulatory policies by developing policies and procedures, implementing them and performing periodic audits.

We’re looking for someone with a Bachelor’s degree in accounting or finance and a minimum of 5-7 years of experience in managing grant, project and organizational budgets in a nonprofit organization. Additionally, the ideal candidate would have knowledge of ERP accounting systems like Sage Intacct, Microsoft Business Central or NetSuite and would be proficient in Microsoft Office (MS Word and MS Excel) and Google Workspace. They would also have an ability to establish and maintain effective positive relationships with staff, management, and stakeholders under pressure. The person in this position will be focused on enhancing the organization’s financial operations to the next level of operational efficiency. They’ll monitor and ensure compliance with regulations and provide the best in class financial management support to internal stakeholders and program directors.

Salary Range: $105,000-$115,000

In this role, you will:

Budgets

  • In collaboration with the CFO, develop the Finance department’s annual budget, monitor the budget on a routine basis;
  • Work closely with the CFO to identify, implement, and manage a budgeting system that is easy to use for both program and Accounting staff in order to incorporate efficiencies and in an effort to foster effective collaboration;
  • Maintain an effective level of communication with project management and Development staff;
  • Train program staff to use the budgeting system;
  • Prepare worksheets and collect key data to inform budget processes;
  • Provide technical assistance on budget development to internal/external stakeholders;
  • Assist internal stakeholders to prepare budget workbooks;
  • Update and reconcile complex financial and budgetary spreadsheets. Work with the finance staff to improve processes to mitigate errors in recording and reporting of financial activities, encompassing the organization’s commitment to excellence;
  • Work with Development and program staff to develop proposal budgets templates, as needed;
  • Collaborates with the CFO to develop annual organizational budget and support the distribution of budgets to programs and departments;
  • Assist Development in submitting budget proposals/revisions/reallocations associated with grant renewals;
  • Work with the IT department, to assist the CFO with research, evaluation and implementation of a comprehensive budgeting and reporting system that is suitable to the organizations’ dynamic operating environment and dedication to equity.

Reporting

  • Develop, manage and report on consolidated operating budget, reports and variance analysis;
  • Prepare adjusting or reclassification journal entries as needed in collaboration with the Staff Accountant, to ensure expenses are recorded in the correct budget;
  • Periodically review staff allocations with the budget owners and stakeholders and prepare adjusting entries as needed;
  • Support the financial reporting and analysis for a specific program or designated set of financial activities as requested by the stakeholders;
  • Reconcile monthly financial statements and analyze the budget in comparison to actual variance reports with the Controller; work with internal stakeholders to review monthly financial activities to identify trends that will impact the budget plans for future periods;
  • Analyze and prepare reports on organization wide financial activities on a monthly, quarterly and annual basis;
  • Meet monthly with internal stakeholders and the CFO to review monthly project/program budget comparison reports;
  • Assist Development staff to provide budget justifications on grant proposals, when needed;
  • Support the Controller to accurately record grant activities, including proper classification of revenue and expenses in the accounting system;
  • Attend periodic Program/Department/Development team meetings and when necessary keep track of changes that may have a direct impact on financial performance; Maintains an effective level of communication and collaboration with these key staff members;
  • Assist Development department to prepare interim and annual financial and program reports requested by funders, when needed;
  • Supports Controller during grant/project audits and annual organizational audits;
  • Review and assign program/project codes to contracts/MOUs/subgrants.

Compliance

  • Assist the CFO and the Controller with building, maintaining and monitoring standard operating procedures (SOPs) for all financial operations including accounting policies, standards and procedures, monthly close processes, reconciliations, contract management and other departmental tasks;
  • Conduct regular internal audits to ensure ongoing compliance with the standard operating procedures;
  • Ensure organization’s statutory requirements, obligations and objectives are achieved within its delivery timelines;
  • Ensure effective data management, policies, processes, and programs to provide assurance of ongoing statutory and regulatory compliance;
  • Ensure that compliance issues/concerns within the organization are being appropriately evaluated, investigated, and resolved.

Qualifications:

  • A Bachelor’s degree in accounting or finance;
  • A minimum of 5-7 years of experience in managing grant/project and organizational budgets in a nonprofit organization;
  • Knowledge of, and competency with, ERP accounting systems like Sage Intacct, Microsoft Business Central or NetSuite; proficiency in Microsoft Office (MS Word and MS Excel), Google Workspace;
  • Outstanding collaborator who exhibits willingness to learn and support learning from others;
  • Excellent oral and written communication skills and ability to communicate effectively with all levels of staff;
  • Ability to work in an extremely fast paced dynamic environment under flexible and hybrid working conditions;
  • Ability to work effectively with short timelines and to manage competing priorities;
