Role: Finance and Administration Coordinator
Rate of Pay: $47,000-$49,000 annually, plus full benefits

Overview: At Reproductive Health Collaborative Nebraska (RHCN), we work to provide equitable access to quality sexual and reproductive healthcare services and education for Nebraskans statewide. We are a small not-for-profit organization that manages a statewide initiative that braids both federal and private funding to advance our mission. RHCN is at an exciting time of growth and expansion. As a collaborative team of subject matter experts, we work in an integrated and iterative fashion to implement, evolve, and expand programming and best practices.
Finance and Administration Coordinator is responsible for overseeing financial management, Subrecipients compliance, and administrative functions within an organization. They ensure smooth operations by managing financial records, coordinating administrative processes, and assisting with organizational planning.
Job Summary:
The Finance and Administration Coordinator will be responsible for managing the day-to-day financial operations and administrative support functions of the organization. This includes overseeing budgeting, accounting, reporting and compliance tasks, while providing administrative support to ensure efficient office operations.
Key Responsibilities:
40% Financial Management:
- Record all financial transactions, including purchases, receipts, and payments.
- Maintain accurate ledgers for accounts payable, accounts receivable, and general ledger.
- Track expenses and ensure they align with budgets and financial plans.
· Ensure timely payment of invoices and manage procurement processes.
- Monitor and manage the organization’s financial transactions, including accounts payable and receivable.
- Assist in the preparation of financial statements and year-end reports.
- Manage relationships with vendors and service providers, including contract payments, and renewals.
30% Subrecipient Audit Reports:
- Collect and review and evaluate the annual audit reports submitted by subrecipients to ensure compliance with federal and grant-specific requirements.
- Identify key audit findings and deficiencies related to the federal award and ensure that all areas of concern are appropriately addressed.
- Coordinate the follow-up process for subrecipient audit findings in a timely manner, ensuring corrective actions are implemented promptly and effectively.
- Maintain a tracking system to monitor the status of each audit finding and ensure that corrective actions are completed within the required timeframe.
- Request and obtain written documentation from subrecipients detailing their corrective action plans to address any audit deficiencies.
- Ensure subrecipients provide thorough responses, including timelines for corrective actions and resources allocated for resolution.
- Monitor the progress of subrecipients’ corrective actions, ensuring they are implemented as planned and in a timely manner.
- Conduct periodic follow-ups with subrecipients to track the status of corrective actions and resolve any delays.
- Prepare regular reports summarizing audit findings, subrecipient responses, and the status of corrective actions.
30% Administrative Support:
- Provide general administrative support to the leadership team, including scheduling meetings, coordinating travel, and preparing documents.
- Organize office supplies, equipment, and office space, ensuring that resources are readily available.
- Maintain and update records, files, and databases to ensure they are accurate and accessible.
- Assist in preparing reports, board meetings, and other documents as required by leaders
- Manage calendars and schedules for executives or leadership members, including meetings, appointments, and events.
- Coordinate internal and external meetings, including booking venues, arranging transportation, and preparing materials.
- Prepare inventory budget projections and conduct inventory audits on a regular basis. (Storage, Office, Food)
Preferred Qualifications:
- Proven experience in finance, accounting, and office administration (2 years preferred).
- Strong knowledge of financial software (e.g., QuickBooks, bill.com, Microsoft Excel).
- Excellent organizational skills with attention to detail.
- Ability to work independently and collaboratively in a team environment.
- Ability to manage multiple tasks and prioritize effectively.
- A proactive problem-solver with a strong sense of confidentiality and integrity.
- Experience with non-profit or similar sector financial management.
