Switchboard is seeking an experienced and adaptable Program Officer to provide critical support and oversight for special events and training and technical assistance (TTA) projects. This role will support in managing major conferences, specialized and complex training initiatives, and addressing urgent requests that arise. The PO will be responsible for providing added support when our team faces capacity constraints, ensuring smooth coordination between internal team members and external contractors, and maintaining a high standard of quality and efficiency.

 

Major Responsibilities:

Manage Special Projects

  • Manage special projects for the Switchboard team. Special projects may include:
    • In-person events
    • Large-scale virtual TTA interventions 
    • Unique or new forms of TTA
    • TTA requiring the support of multiple subject matter experts
  • Develop and deliver comprehensive project plans for major conferences and events. Liaise between presenters, vendors, senior leaders, federal funders and other stakeholders. Travel to events in person approximately 2x/year and ensure events run smoothly. 
  • Support the planning and start-up of projects funded by new funding streams, ensuring alignment with grant objectives and donor expectations.
  • For all special projects, monitor progress, identify potential risks, and implement mitigation strategies. Ensure special projects are completed on time, within scope, and within budget.

Provide Surge Support

  • Provide project management during peak periods or when the team faces unexpected challenges, helping to avoid delays due to higher-than-normal volume or complexity of projects. 
  • Provide support for urgent funder requests or training and technical assistance projects that are more time-sensitive than usual.
  • Adapt to changing priorities and manage multiple training/technical assistance projects simultaneously in a dynamic environment.

Monitoring and Evaluation

  • Ensure collection, analysis and reporting of all data associated with special projects in coordination with Switchboard’s Monitoring and Evaluation team. 
  • Other duties as assigned.

 

Job Requirements: 

  • Bachelor’s degree in Project Management, Nonprofit Management, or similar, or equivalent experience. PMP or similar certification is a plus.
  • 3 years of experience in project management.
  • Demonstrated familiarity with project management in an instructional design and training context, including experience managing conferences or complex training programs.
  • Strong familiarity with grant management and funder reporting requirements.
  • Proficiency in project management software and tools.
  • Preferred: Knowledge of resettlement and integration services in the United States. 
  • Skills:
    • Strong organizational skills with the ability to manage multiple projects and meet tight deadlines.
    • Excellent communication and interpersonal skills, with experience liaising between diverse stakeholders.
    • Demonstrated ability to remain calm under pressure and adapt to changing circumstances.

 

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget.  Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
