Assistant Manager
We are seeking an experienced Assistant Manager for a 640-unit residential community.
The Assistant to the On-Site Manager position is to assist with the day-to-day functions of the property and the Association Office, while supporting the On-Site Manager (CAM) in all aspects of management pertaining to the community. This is a 40 hour per week Monday-Friday salaried position.
The association oversees and maintains amenities, including, but not limited to, a swimming pool and spa, tennis, pickleball, shuffleboard courts, Bocce Ball, Beach Volleyball, and many other amenities and activities.
The successful candidate for this position will preferably have a minimum of two years of experience as an assistant manager, along with the following responsibilities:
Assistant Manager’s Responsibilities
- Proficient in Microsoft office software, including Excel, Word, and Outlook. Experience with Quickbooks and TOPS software, Enumerate and Vinteum a plus.
- Strong attention to detail with the ability to prioritize and juggle multiple job functions.
- Assist front office staff when necessary with registering guests, owners, and visitors. Drafting memos to the front office Welcome Center staff as necessary. Assist in ensuring the front of the Welcome Center Staff are doing their jobs effectively and efficiently.
- Assist bookkeeper with quarterly maintenance payments as received. Notify delinquent owners in writing if funds are not received by the 10th of the month. Monitor, update, and report to Manager and Finance committee the status of delinquent owners.
- Process payroll time cards and hours worked by employees and submit hours to in house bookkeeper biweekly.
- Attend Board of Director meetings. Record accurate minutes, post copies of minutes in appropriate locations as well as submit copies of minutes to all members of the Board of Directors and Manager. Familiarity with ZOOM is a plus.
- Maintain owner records/directory and update as needed. Process all new owners into our system; send out Welcome information packets to new owners. Submit resale report to the Secretary of the Board monthly prior to Board of Directors meetings. Work together with the Secretary of the Board on resale applications. Process pertinent paper work with title company/attorney and respond to requests in a timely manner.
- Update and Maintain roster for the boatyard facility. Work with security monitoring firm by providing updates to their roster and when necessary change monitoring times.
- Maintain storage area rosters and information required by the Association’s rules and policies. Keep accurate records, update waiting lists, and post waiting lists on the community website.
- Post messages as needed on the website.
- Assist in all mass mailings and Annual Board Meeting preparation.
- Order office supplies and cleaning supplies for our housekeeper.
- Invite new owners to register to the website and answer any questions pertaining to the website.
- Assist with tasks that are deemed necessary by either the Manager or the Board of Directors.
