Job Overview
The Operations and Fleet Manager is responsible for managing the delivery pipeline and overseeing Dispatch. This role includes organizing weekly load forecasts, collaborating with driver managers, managing the TMS system, and communicating with customers and brokers. The Dispatch Manager ensures that KPIs are met to maintain revenue, profitability, and customer satisfaction.
Key Responsibilities
- Build and maintain strong relationships with customers, transportation managers, and brokers.
- Gain a thorough understanding of customer portals, emails, and processes to ensure accurate service requirements and information are met.
- Proactively find freight by utilizing load boards, leveraging existing customer relationships, and seeking direct shippers as needed.
- Negotiate competitive rates while ensuring that selected loads remain profitable.
- Respond promptly to incoming calls, emails, and text messages from both internal and external customers, maintaining a high level of professionalism and courtesy.
- Accurately process and schedule customer shipments, ensuring all necessary load information and documentation are included.
- Complete required paperwork for new customer setups.
- Enter loads into the Dispatch Management System as they are received.
- Communicate daily with Driver Managers to ensure alignment.
- Dispatch drivers or work with Driver Managers to allocate loads.
- Assist with driver issues while on the road (OTR).
- Apply problem-solving and critical thinking skills to assess the broader impact of decisions on the company.
- Stay up-to-date with FMCSA regulations, DOT laws, insurance requirements, and state/federal licensing registration laws.
- Obtain necessary permits to meet state-specific requirements and ensure escorts are ordered when needed for specific loads.
- Create and enforce policies to establish a culture of compliance and safety in the workplace.
- Implement and monitor safety policies and procedures in compliance with local, state, and federal regulations, including CSA scores, FMCSA, and DOT rules.
- Oversee compliance-related items such as physicals, licenses, random drug screens, annual reviews, and hours-of-service regulations.
- Collaborate with supervisory staff on questions, concerns, or decisions outside of dispatch duties.
- Foster positive employee relations by promoting teamwork and practicing strong leadership principles.
