Shipping / Receiving Supervisor
General Description:
The Shipping Supervisor manages all shipping and receiving activities, prepares and maintains required documentation and customer invoices, operates a clamp-lift and forklift, and oversees the activities of the shipping assistant. This role involves handling sensitive company information, requiring professionalism and confidentiality.
Responsibilities:
- Shipping/Receiving Activities:
- Manage office duties and documentation related to shipping and receiving.
- Perform final quality checks on finished goods before loading, including labels, and report discrepancies.
- Coordinate and assist with minor product repairs before loading.
- Palletize and wrap rolls as needed.
- Inspect trailers before loading and report findings on the Truck Driver’s Log.
- Operate industrial trucks for loading and unloading freight, ensuring first-in, first-out shipping unless specified otherwise by the customer.
- Prepare and maintain all required shipping documents, including production/shipping checklists, end-of-order forms, packing lists, and bills of lading.
- Ensure orders are not shipped without Certificate of Analysis (COA) authorization.
- Coordination and Communication:
- Request and organize customer shipping arrangements based on instructions from the commercial sales department.
- Obtain price quotes for shipping and notify the commercial sales department, copying the bookkeeping department on selected quotes.
- Submit daily shipping documents to the administrative assistant – sales.
- Coordinate and assign warehouse aisle designations for finished goods storage.
- Communicate detailed information to the Shipping/Receiving Supervisor and Assistant.
- Promote a safe and positive team atmosphere, ensuring the lead and assistant have all necessary information.
- Warehouse Management:
- Assist with unloading, inspecting, and handling receiving documentation for incoming products.
- Manage the receipt, storage, and inventory of finished goods, raw materials, packaging supplies, and pallets.
- Maintain the finished goods warehouse in an orderly and neat condition.
- Restock unused masterbatch and additives as needed.
- Maintain various spreadsheets, including Orders on the Floor, Shipped Log, Shipping Schedule, Line 3 Base Rolls, Weekly and Monthly Inventory, and Import Tracking.
- Prepare weekly, month-end, and year-end inventory reports.
- Additional Duties:
- Abide by all company policies and procedures, demonstrating professionalism to all employees, customers, vendors, and visitors.
- Notify the office manager of any job-related or personnel issues.
- Assist with other projects and tasks as required.
- Adjust work time to manage tasks and requirements.
Qualifications:
- High school diploma or equivalent.
- Minimum of 3 years of supervisory experience in shipping, preferably in a manufacturing environment.
- Basic computer skills, including typing, constructing letters, forms, and proofreading.
- Ability to operate a forklift and clamp truck.
- Flexible, well-organized, and able to handle multiple tasks with exceptional attention to detail.
- Capable of lifting at least 35 lbs. (assistance required for heavier loads).
- Strong teamwork skills and the ability to work efficiently with minimal supervision.

Physical Demands:
- Regularly required to sit, walk, use hands to handle or feel, reach with hands and arms, talk/hear, and climb stairs.
