Position Summary:
The Associate, Operations plays a pivotal role at RFF, supporting operations by providing essential administrative services to support general office administration, including as needed, support of the President’s Office, Executive Team, and individual departments. This role is critical in ensuring streamlined office management, enhancing internal and external communications, and assisting with project management across multiple departments to advance RFF's mission.
Key Responsibilities:
- Greet and direct all office visitors, ensuring proper access and guidance.
- Handle incoming calls and emails, redirecting inquiries to appropriate departments.
- Distribute correspondence, reports, and informational materials. Manage incoming and outgoing mail.
- Manage office calendars to optimize scheduling for various departments, including supporting Vice Presidents with scheduling needs and meeting support.
- Plan and arrange travel logistics, accommodations, and manage reimbursement of associated expenses for Vice President travel when requested.
- Serve as back-up for the Executive Assistant to the President.
- Provide administrative support on Executive projects and special initiatives when needed.
- Assist with HR duties when needed, including filing, document management, and maintaining accurate personnel records.
- Assist in organizational fundraising, including donor communications, utilizing databases and online resources as needed.
- Oversee office supply inventory, coordinate purchasing, and manage vendor relations.
- Maintain and update administrative processes to ensure operational consistency and efficiency.
- Assist in organizing logistics for donors and other small meetings, including room setups, catering, and clean-up, and providing back-up support for the Events team.
- Liaise with building management and IT departments to address office maintenance and technology needs and communicate building-related announcements to RFF staff.
- Manage logistics related to office spaces, including signage, kitchen supplies, and general upkeep.
- Other duties as assigned.
Qualifications
- Education and Experience:
- Prefer Bachelor’s degree with at least 2 years of experience, or AA’s degree with minimum of 3 years’ experience or High School Diploma with at least 6 years’ experience, ideally in office management or administrative support.
- Proven experience in administrative roles with the capacity to manage responsibilities across multiple departments.
- Technical Skills:
- High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Competence in using internal communications platforms (Microsoft Teams, Zoom).
- Additional Qualifications:
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- A proactive approach to problem-solving and strong decision-making skills.
