Respect Life Ministry has an opening for a part-time Program Assistant for the Miami Pregnancy Center. As a member of the Respect Life Ministry team, the Program Assistant is responsible for assisting the Program Coordinator with duties relating to the FPSSP & FPCN programs. Working under the Director with guidance from the Assistant Director, the Program Assistant helps with the training of volunteers, provides direct services for program recipients, performs administrative tasks, and participates in projects and initiatives related to the ministry. This position also requires being a member of the Respect Life Ministry as well as the Parish Life Teams. The Pregnancy Center Program Assistant performs all duties and responsibilities in alignment with the mission, vision and values of the Respect Life Office and the Archdiocese of Miami.
Schedule: 30-32 hours/week. Includes Saturday and one evening shift each week.
Responsibilities include:
- Comply with established Respect Life Ministry policies, procedures, objectives, quality assurance methods, and safety codes.
- Assist the Program Coordinator in the training of all volunteers of the pregnancy care center, ensuring that they remain updated on the policies and procedures of the pregnancy center.
- Assist the Program Coordinator in training volunteers in FPSSP services and the use of Ekyros and Subsidium databases.
- Schedule appointments for clients and verify all appointments to ensure that client files are complete with all required documents.
- Assist in the oversight of proper input of information by volunteers into both the Ekyros and Subsidium databases, by verifying that all information is complete for each visit, each day.
- Keep track of FPCN expiration dates to ensure timely updates and compliance.
- Provide pregnancy counseling to clients in accordance with Florida Pregnancy Care Network (FPCN) and Respect Life Ministry guidelines.
- Offer resources and material assistance tailored to each client’s unique needs.
- Prepare client resource packets, ensuring all necessary documents are ready for client counseling each day.
- Maintain layette logs ensuring that items are consistently available for clients.
- Assist, as needed, in the preparation of monthly reports for the State of Florida Pregnancy Support Services Program funding.
- Assist, as needed, in managing the job performance of pregnancy center volunteers, recommending appropriate action to Program Coordinator as needed, including training recommendations.
- Assist in performing all administrative duties for workshops and trainings, including preparing training materials, enrolling participants and tracking attendance. (Parish Representative meeting/Trainings, Volunteer meetings/Trainings).
- Assist Program Coordinator in facilitating compliance of volunteers with monthly Virtus training, fingerprinting, and cultural sensitivity training.
- Assist with other Respect Life Office tasks as needed with empathy, confidentiality and discretion, demonstrating excellent internal and external customer service.
- Assist the Respect Life Ministry team and Parish Life Team with administrative and other related duties as assigned or requested.
- Other duties as assigned.
Qualifications:
- High School diploma and administrative experience in a social-service or customer-service environment required.
- Preferred: Bachelor’s degree in human services or related area and two years of experience in the administration of social service programs.
- Experience in providing direct social services required, clinical experience a plus.
- One year’s experience in operations management required.
- Experience in a Roman Catholic environment preferred.
- Valid Florida driver license with good driving record and automobile insurance.
- Excellent personal interaction skills, including ability to maintain focus on and professionalism with people in challenging and crisis situations, both in person and by phone.
- Skilled in needs analysis and problem resolution; ability to actively listen to concerns, make quick assessments and lead people in crisis to solutions.
- Good time management, including ability to manage several projects at the same time.
- Must be able to multi-task and retain accuracy in an environment of competing deadlines.
- Good computer application skills, including word processing and proficiency in spreadsheets.
- Good written communication skills, including spelling and grammar required.
- Good oral and written English-language communication skills, including clear speaking voice required.
- Strongly Preferred: Good Haitian Creole or Spanish-language spoken communication skills.
- Knowledge of basic tenets of Catholic Church and parish structures.
- Must be supportive of the mission and tenets of the Roman Catholic Church.
- Must have a professional demeanor.
