Summary of Responsibilities
Responsible for patient registration, scheduling appointments, and collecting co-pays. Distribution and processing of outgoing and incoming mail and correspondence. Posting insurance payments, entering charges for services, assisting patients with their accounts, both in the office and on the phone. Position requires accuracy, thoroughness and a good understanding of insurance procedures for referrals, co-pays, deductibles, allowables, CPT codes and Dx codes. Work is multi-tasked and interrupted often. Must have the ability to communicate effectively with patients and insurance company representatives. Serves as backup support for insurance specialist as needed.
List of Responsibilities/Duties
- Schedule patient appointments according to scheduling guidelines.
- Handles telephone receptionist responsibilities as needed.
- Greets patients promptly and professionally.
- Properly triages patients and visitors.
- Registers patients by gathering, verifying and entering in demographic and insurance information.
- Obtains signed registration sheets, permissions to file claims, releases, etc.
- Collects co-payments and personal payments.
- Posting insurance company payments and patient payments on a daily basis.
- Monitor the receipt of and process ERA files from applicable insurance carriers on a daily basis as needed.
- Handles inquiries about insurances accepted, office hours, services, locations, doctor information, etc.
- Maintains patient confidentiality at all times and communicates with the Office Manager regarding procedural changes and concerns.
- Cooperates and communicates with all staff members and physicians about patient matters.
- Process pending charges from Next Gen EMR, as well as monitor NextGen to ensure all patient appointment charges have been posted.
- Print and balance the daily deposits.
- Scans correspondence as needed into EMR.
- Process requests for medical records
- Assist with the accounts receivable aging report for claims that need to be refiled or followed up on in some other manner.
- Monitor NextGen EPM system to update for insurance claim filing as needed.
- Assist with other Patient Service responsibilities as needed.

Minimum Education Requirements
- High school diploma or GED.
- Alphabetization and spelling skills a must.
- Good verbal and written communication skills
Minimum Background Requirements
- Skill in computation, typing and filing.
- Clerical work experience, some of which is preferably in a medical office setting.
- Experience in billing in a health care environment preferred.
- Medical terminology and basic coding knowledge required.
Minimum Demonstrated Skills
- Posts charges and payments accurately and promptly including the proper use of modifiers.
- Maintains patient confidentiality at all times and communicates with the Compliance Officer regarding procedural changes and concerns.
- Assists patients willingly, professionally and accurately.
- Cooperates and communicates with all staff members and physicians. Attends required meetings. Participates in professional developments efforts to stay current on insurance coverage changes and regulatory matters.
- Demonstrates a willingness to help as needed in all patient service roles.
- Position requires accuracy, thoroughness, and an understanding of insurance and referral procedures.
- Work is fast paced and multi-tasked.
- Requires ability to work as a team member.
- Skill in operating computer, word processing software, fax machines and copier machines.
Physical Requirements
- Requires dexterity to handle and count cash.
- Requires sitting for long periods of time with occasional bending required.
- Must be able to view and enter data into the computer for extended periods.
- Must be able to communicate via the telephone.
- Must be able to stand, reach, bend and squat repeatedly during the day.
Job Type: Full-time
Pay: $15.00 - $19.00 per hour
Expected hours: 40 per week
Schedule:
- Monday to Friday
