We are seeking a dynamic Executive Assistant/Office Manager to join our team.
Key Duties
- Administrative & Client Support: Assist financial advisor with administrative and marketing initiatives, manage client interactions, and prepare for client meetings.
- Marketing Coordination: Collaborate with vendors and service organizations to implement client-facing marketing strategies.
- Office Operations: Manage office procedures, including information management, filing, supply requisition, budgeting, and clerical duties.
- Document Management: Compose, edit, and handle confidential correspondence, reports, and documents.
- CRM Management: Create and maintain the ZOHO Client Relationship Management (CRM) database and organize spreadsheet files.
- Process Improvement: Use technology to streamline workflows and improve office processes.
- Social Media & Digital Marketing: Oversee marketing efforts across social media platforms and manage the company website and email communication.
Key Requirements
- Experience: 3-5 years in administrative or office management roles; experience in the Insurance or Securities industry is a plus.
- Organizational Skills: Strong attention to detail and the ability to manage multiple tasks efficiently.
- Communication Skills: Excellent written and verbal communication, including the ability to compose and interpret reports and business correspondence.
- Technical Proficiency: Advanced knowledge of Microsoft Office, Apple products, and comfort with learning new technologies.
- Attributes: Proactive, with strong initiative, work ethic, honesty, and integrity.
- Mathematical Ability: Basic skills to calculate figures and interpret data.
