Are you an experienced, highly organized, and driven professional looking to make a significant impact? RETTEW is seeking an Administrative Coordinator (Project Technician) to support our Transportation Team. This role is perfect for someone with exceptional problem-solving skills, a basic understanding of billing, and a desire to learn new skills. You'll be executing multiple projects efficiently while providing direct support to the Transportation Team.


Preferred Locations: Lancaster, PA; Mechanicsburg, PA; Pittsburgh, PA 


Key Responsibilities

Project Support: Assist Transportation staff with project setup, tracking, budget corrections, and report/document preparation.

Invoicing: Create invoices using Deltek and PennDOT’s ECMS software. This work will be approximately 33% of the position.

File Management: Maintain project files and data, keep records of activities/transactions, coordinate activities, meetings, and events, and assist in establishing relationships with agencies/associations.

Document Review: Perform checks of project deliverables and internal documents to ensure they are grammatically correct and meet professional and RETTEW standards.

Coordination: Prepare reports/presentations, log expenses, research/update statistical information, and schedule (client, staff, etc.) meetings.

Proposal Development: Assist the Marketing team to develop PennDOT Statements of Interests (SOIs), proposals, and PM checklists; interact with teaming partner and agencies on non-technical tasks.  

Onboarding Support: Assist with onboarding new hires.



Requirements

- High School graduate or equivalent; associate or bachelor's degree preferred.

- Minimum five years of related experience.

- Proficient in Microsoft Office, with a strong emphasis on Excel and Word formatting.

- Strong grammar, proofreading, attention to detail, and communication skills.

- Ability to work well both independently and as part of a team.

- Ability to handle multiple tasks and deadlines from various project managers.

- Excellent coordination and organizational skills.

- Experience with Deltek Vantagepoint and PennDOT ECMS systems is a plus.
