What are the responsibilities and job description for the Reservations Coordinator position at Reunion Resort and Golf Club?
Reservations Management
- Ensure knowledge of wholesalers' and OTAs contract agreements for each hotel property to successfully manage room accommodations reservations and amenities requests.
- Assist with Daily Revenue and Reservations checklist, including confirming online reservations and communicating with guests on OTAs.
- Manage reservations side tasks including but not limited to: Reservations Inbox, Owners Inbox, Vacation Rental Inboxes, Travel Partners, and Group Housing Inbox.
- Manually assign specific accommodations based on feature and/or location requests.
- Review no-shows from the previous night and make corrections as needed.
Billing & Payments
- Ensure all wholesalers' and OTA special billing, prepayments, and deposits accurately reflect in the guest folio prior to arrival/check-in time.
- Process all group deposits.
Auditing & Compliance
- Audit bookings within the booking engine, wholesalers, and travel partners for accuracy of information and enforce corresponding cancellation policies.
- Audit future Streamline Reservations for signed rental agreements, guest registrations, identity verification, payments, and overall requests.
Group Reservations & Events
- Keep updated files on all upcoming groups upon receipt of turnover.
- Ensure accuracy between the Delphi and SMS systems (room blocks, rates, cutoff dates).
- Detail each group profile and/or reservation with specific information (rate, rate code, deposits, location requests, package inclusions, contract concessions, etc.).
- Build rates and inclusive packages specific to each group (create routing profiles, deposit policies, cancellation policies, etc.).
- Input group rooming lists and facilitate all rooming list changes and billing changes upon receipt from the assigned Conference Services Coordinator.
- Cross-reference group resumes with system information and ensure accuracy.
- Provide reservation and pickup reports upon request.
- Attend all pre-planning and/or pre-conference meetings with clients and the Conference Services Coordinator.
General Support & Teamwork
- Promote and apply teamwork skills at all times.
- Assist with answering calls via Revinate when needed.
- Complete any other tasks/duties assigned.
- Position requires flexibility in scheduling including AM/PM shifts, weekends, and holidays
- Must have attention to detail, strong ability to multi-task, and time-management skills
- Maintenance lead experience of at least 3 years is required.
- Hospitality industry experience is a plus.
- Must have strong verbal and written communication skills
- Valid drivers license is required.
- Ability to lift, push, and pull up to 50lbs.
