Job Summary:
FOX is seeking an Office Manager/Receptionist. This position will be responsible for managing frontoffice
operations, including welcoming clients, handling incoming calls, scheduling appointments, and
providing general administrative support. This role requires a strong multitasker with excellent
communication and organizational skills who can thrive in a fast-paced environment.
Key Responsibilities:
Reception Duties:
Greet clients, customers, and visitors as they arrive, providing a professional and friendly first
impression.
Answer, screen, and direct calls to appropriate personnel.
Handle customer inquiries, resolve issues, and provide information about services offered.
Administrative Support:
Schedule appointments and coordinate service timelines for clients and technicians.
Maintain and update customer records in various company IT systems.
Assist in managing field service work orders, invoices, and customer billing processes.
Prepare and maintain office documents, reports, and files.
Facility Coordination:
Ensure the office area is organized, clean, and welcoming.
Order and manage office supplies and materials, ensuring inventory levels are maintained.
General support with administrative tasks as needed.
Customer Service:
Provide exceptional customer service by addressing customer concerns and providing solutions.
Communicate effectively with customers to acknowledge and/or follow up on order status and
ensure customer satisfaction.
General Office Management:
Coordinate appointments and meetings for office staff.
Assist with the preparation of documents and reports as needed.
Perform other clerical duties as required.
Requirements:
Previous experience in an office management or receptionist role, preferably in a manufacturing
or repair facility setting.
Strong communication skills, both verbal and written.
Excellent organizational skills and attention to detail.
Ability to multitask and prioritize in a fast-paced environment.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Friendly, professional demeanor with a strong customer service orientation.
Ability to work independently and as part of a team.
Basic knowledge of repair processes or technical terminology is a plus, but not required.
Physical Requirements:
Ability to sit or stand for extended periods.
Occasional lifting of office supplies and materials (up to 25 pounds).
