The Account Supervisor will be a driving force behind day-to-day activities on a client brand. The Account Supervisor is the central hub of the team, leading the development of client projects. This role is responsible for planning and executing professional-client congress logistics/materials and education speaker programs. The Account Supervisor works directly with Account Teams and our client’s field force, brand team and/or health care professionals to manage all aspects of congress activities. This may include recruitment, scheduling and coordinating dates, times and location, contracting, logistics, facilitating and reporting. The Account Supervisor has direct responsibility to ensure appropriate contracting and compliance regulations are in place, manage all assigned projects, and collaborate with other team members to ensure seamless coverage. This individual must possess excellent oral and written communication skills and attention to detail.

What You'll Do
  • Plan and execute client’s professional education speaker programs and educational activities
  • Recruit KOL/HCPs, schedule and coordinate dates, times and locations, contracting, logistics, facilitating and reporting
  • Ensure appropriate contracting and compliance regulations are in place, manage all assigned projects, and collaborate with other team members to ensure seamless coverage
  • Lead and manage day-to-day projects to ensure smooth delivery of programs and deliverables for specific account teams
  • Manage live, virtual, and hybrid events
  • Keeps accurate and consistent notes
  • Manages and facilitates virtual platforms for virtual and hybrid events (may include an intro/housekeeping speaking role)
  • Database all program information and provides regular reports to the client on program status, program evaluation, attendee record, financial status, and spend tracking
  • Communicates with HCPs to schedule and confirm services required, contracts, and oversee travel needs and maintain the participation database
  • Maintains database to track HCP information
  • Actively identify new business opportunities within existing accounts and through other contacts
  • Generate internal project estimates and collaborate with PM/PC to develop timelines
  • Translate client needs and expectations to internal agency team through project brief development and internal meetings and communications with the cross-functional agency team
  • Monitor project estimate vs. actual time and cost accruals
  • Review monthly account billing for accuracy and completeness in accordance with client PO(s)
  • Assist in the development and approval of scopes of work (project descriptions, assumptions, estimates)
  • Assist in tactical planning and brand strategy
  • Stay up-to-date with key information, milestones, and deadlines communicated by the Congress 
  • Manage external vendor to set client expectations and monitor progress
  • Provide on-site support to manage the meeting suites, HCP engagements, industry-supported programs, and any ad hoc requests 


Requirements
  • 4 -5 years of pharmaceutical agency experience, specifically planning Congress and HCP engagement activities
  • Strong attention to detail with the ability to manage a diverse range of projects
  • Proven supervisory experience and mentoring skills
  • Detail oriented with the ability to manage a wide variety of projects and team members
  • Experience managing and nurturing client relationships
  • Outstanding communication skills: oral, written, and interpersonal
  • Experience with product launches
