Minimum Requirements
- 2 years experience minimum
- Excellent organizational, written and verbal communication skills
- Ability to handle multiple tasks and thrive in a fast-paced environment
- Self-motivated is a MUST
- College degree or equivalent life experiences
- Satisfactory completion of background check, fingerprinting, and screening/hiring tools
- Proficient in MS Office Word and Excel
- Usage of Salesforce, eMoney, Wealthscape, and MorningStar Advisor Workstation, a plus
Responsibilities
Office Administration
- Manage and man office phones remotely, as necessary
- Effectively maintain our activity suspense system for any key time-sensitive actions
- Keep team members up to speed on key pending activities’ progress
- Maintain a positive attitude and be a motivator for the team
Client Quality Servicing
- Project a professional appearance and demeanor always, in person, via phone, and via email
- Provide exceptional service to all clients
- Use business practice guidelines when speaking to prospects/clients
- Maintain paper and electronic files and records in the client database(s) up-to-date - address changes, updating information, etc
- Prepare necessary paperwork before client appointments
- Schedule client/prospect appointments and confirm them before the appointment date
- Provide pre-appointment paperwork to prospects/clients
- Accurately complete, forward, process, and track the necessary paperwork after a sale to ensure successful completion
- Maintain, track, and distribute client and team activities
- Screen all phone calls and handle each call appropriately
- Process incoming and outgoing emails promptly
- Assist in problem resolution and act as the liaison with the various business partners
- Perform other administrative duties as requested by the Owner and Sr. Financial Concierge
- Contact all prospects promptly, maintain and track prospects in the client database and keep it current and viable
- Prepare client birthday, anniversary, holiday cards, and other follow-ups, as needed
- Keep management and team members informed regarding calendar changes
