RFG Advisory’s partner, AimWell Financial , is seeking a Client Service Coordinator & Executive Assistant to support a growing independent financial advisory practice. This role is a unique blend of client service, administrative support, and executive assistance. You will be responsible for ensuring clients receive exceptional service, managing the team’s schedule and key operational tasks, coordinating events, and assisting with marketing efforts.

This is a hybrid role in St. Petersburg. Client and team meetings will be in person as often as possible, with virtual options as a supplement. Local errands and tasks will also be required as needed.

What you will be doing:
Client Service & Operations
- Serve as a primary point of contact for clients, ensuring timely and professional communication.
- Manage client follow-ups, paperwork, and account-related tasks.
- Maintain accurate client records and documentation.
- Assist with scheduling and preparation for client meetings.
- Assist with the development and improvement of processes and workflows to streamline firm operations
- Manage the team’s calendar, emails, appointments, and travel arrangements.
- Handle administrative tasks, correspondence, and document preparation.
- Assist in coordinating personal and professional commitments.
- Support charity-related initiatives.
- Plan and coordinate client events, seminars, and networking functions.
- Assist with social media management, content creation, and marketing materials.
- Maintain marketing calendars and support branding efforts.
What are the expectations?
- Prioritize and manage workflow to ensure quality and efficiency; be flexible in adjusting to changing work priorities.
- Deliver high quality client service in a professional, caring, and compliant manner.
- Communicate effectively with clients, prospects, and others in the organization.
- Build strong relationships and work with diverse personalities.
- 5 years of experience in a similar role (client service associate, executive assistant, office manager, or related position).
- Strong organizational and people skills, with a client-first mindset.
- Experience in an entrepreneurial environment preferred.
- Financial industry experience is a plus but not required.
- Event planning and social media/marketing skills are highly desirable.
- Tech-savvy, with proficiency in Microsoft Office and marketing tools (e.g., Canva). Prior experience with Salesforce is a plus.
