What are the responsibilities and job description for the Staffing Coordinator position at RH Events & Promotions?
The Staffing Coordinator will be responsible for staffing events for RH Events and Catering, LLC with volunteer organizations and booster groups. This position will work alongside the Event Operations Director of RH Events and Catering. The position will be responsible for researching, recruiting, and communicating with volunteer or booster organizations for the events of our clients. The Staffing Coordinator will build and maintain relationships and contact with staffing groups in our database as well as seek new prospects. The Staffing Coordinator will also be solely responsible for quoting and booking tents, tables, and chairs for all events booked. They may be asked to help with additional Vendor coordination outside of tents, tables, and chairs, during specific projects.
Responsibilities:
- Recruitment of staffing groups for RH Events and Catering, LLC events. Contacting organizations via phone, email, text, or social media direct messages
- Maintaining a database of staffing organizations with current contact information, leaders, and ratings for future events
- Securing staffing agreements with organizations in a timely manner after an RH Events and Catering event contract has been signed
- Communicating, reporting, and attending meetings with Sales, Operations, and HR on staffing needs and details to adhere to responsibilities
- Communicating and meeting with staffing organizations to give clear instructions on expectations for the event run to include parking, timing, dress code, station setting, age requirements needed, etc.
- Content creation, including training content, for the RH Events and Catering Fundraising Network Facebook page in conjunction with the RH Media Manager
- Meeting and Inquiring with Event Managers, Leads and Staffing Group for a post event debrief; documenting information found to complete our scoring system for the database
- Striding to improve all planning and processes regarding staffing group recruitment, retention, and training with an eye for opportunities to contribute to RH Events and Catering, our customers, and the staffing groups themselves for lasting relationships
- Working with Sales and Operations to quote and book all tables, tents, and chairs for all events while staying within the budgets provided, and creating relationships with such vendors
- Maintain the Vendor's Database related to tent, table and chairs companies
Requirements:
- Effective verbal and written communication skills
- Experience in phone work through sales, customer service or support
- PC knowledge and experience with email, Microsoft, and general computer skills to navigate various websites and platforms
- Social Media knowledge
- Event experience preferred but not required
- Willingness to attend events in an Event Manager capacity as well as a staffing group coordinator capacity to better understand the aspects of our needs, while looking for areas that we can improve our staffing processes on
- Attendance and adherence to company policy, Heath Department regulations and DOT regulations are mandatory
Compensation: This position is a part-time position with approximately 20 hours a week at $18/hr. There will be opportunities for additional income as Event Manager. Please note that all staffing for in-house event managers and core RH staff will be coordinated and scheduled by the HR director. This position is solely for the additional day staff needed on events.
