SUMMARY/PURPOSE OF JOB
The Unit Secretary Acts as receptionist of the assigned programs and provides support clerical services for the adult rehabilitation patient care unit. Maintains supply inventories and performs routine inspections. Receives and communicates with all customers including visitors, patients, physicians and RHI staff.
Understands and exhibits the principals of service excellence, leads by example, mentors' others in the performance of their assigned duties. Additionally, understands that every employee is responsible for exhibiting exceptional customer service by answering call lights on the nursing unit and if not able to assist personally, will inform the appropriate employee regarding the patient's need.
Understands the role of employee's individual position regarding HIPAA requirements and level of access to Protected Health Information as defined in HIPAA hospital-wide policies. Understands that it is the responsibility of every RHI staff member to provide patient safety as a priority response according to RHI evidence-based practices. Encourages patients to be actively involved in their own care as patient safety strategy.
JOB DUTIES/ESSENTIAL FUNCTIONS
Acts as a receptionist by greeting and offering assistance to patients, physicians, families, visitors, and other staff. Uses proper telephone etiquette and professional demeanor when screening and making calls as evidenced by no patient, family or staff complaints. Handles incoming and outgoing telephone calls and relays pertinent information to appropriate person(s) in professional manner and maintains patient/employee confidentiality. Carries and answers unit cell phone when covering multiple units. Accurately conveys information to charge nurse such as admission information (oxygen, trach, etc). Assists with answering call lights and transporting patients to meals and therapy.
Compiles and maintains light patient charts as evidenced by no missing forms and provides feedback to the supervisor regarding system issues. All shifts are responsible for filing, each unit secretary is to initial each form when placed in chart. Also responsible for making sure that H & P's are printed and filed in the Code Blue pocket in the back of each chart. Prints and distributes patients therapy schedules daily and accurately reviews patient schedules for ADL's, feeding, etc to assist with ensuring patient receives necessary therapies.
Schedules discharge appointments according to procedure and documents in Cerner in Depart at least 2 days prior to discharge. Schedules tests and procedures emergently if Unit Secretary Facilitator is unavailable. Makes sure discharge disposition is accurate in Cerner, including RTAC LOA's and makes sure discharge summaries are faxed to identified physicians upon discharge.
Responsible for calling vendor, logging in rental book and discontinuing orders for rental equipment in collaboration with the NRT Equipment Technician. Supports unit operational policies including but not limited to filing, temperature logs weight boards, vital sign boards, supply ordering, checking tray list, distributing chlorhexidine to patient's room on admission, and printing discharge summary and pharmacy profile at discharge. Maintains daily desk. Supports FIM scoring process by maintaining Graduation Day protocols and files Care Tool BIM sheet in hard chart. Participates in continuous quality improvement/ program evaluation activities and observes measures to ensure that hospital, Joint Commission, CARF, and other quality standards are met.
Uses appropriate technique in performing duties to avoid or minimize accidents and injury related to unsafe practice. Proactively seeks information and resources, including the Environment of Care Manual, to aid in safe performance of duties to contribute to the RHI culture of safety.

QUALIFICATIONS
Excellent written and verbal skills are required. A willingness to work in a team environment to aide the provision of quality patient care. Positive interpersonal skills required. Knowledge of medical terminology critical to job success. Demonstrated ability to keyboard proficiently and in a timely manner. Knowledge of and proficiency in basic Microsoft Word strongly preferred upon hire. Bilingual capability (Spanish/English) strongly preferred.
EXPERIENCE
One year of experience as Unit Secretary or Administrative Assistant in healthcare setting preferred. Experience with Microsoft Word application preferred.
EDUCATION
Must possess a High School diploma or equivalent. Education in medical terminology or health care related training extremely helpful for successful execution of this position. Courses in Microsoft Office strongly preferred upon hire.
