Position Summary
The Credit and Collections Specialist is responsible for managing the credit evaluation process, ensuring that customer accounts are in good standing, and collecting outstanding accounts receivable. This role will work closely with customers to resolve any issues regarding payments, credit terms, and account balances while maintaining strong partnerships with the Accounts Receivable, Sales, and Finance teams. The role also plays a key part in reducing overdue accounts and improving cash flow for the company. This position will report directly to the Billing & Collections Supervisor and will work closely with senior leadership to improve the overall credit and collections processes.
Job Duties & Responsibilities
- Evaluate the creditworthiness of new and existing customers and make recommendations regarding credit limits and payment terms.
- Monitor outstanding accounts and follow up on overdue balances to ensure timely payment.
- Contact customers via phone, email, or written correspondence to resolve payment discrepancies and negotiate payment arrangements.
- Maintain accurate records of all collection activities and provide regular updates to management on account status.
- Work closely with Sales and Accounts Receivable teams to resolve customer billing disputes and ensure proper account adjustments.
- Review and process customer credit applications and assist with setting up new accounts.
- Ensure timely posting of payments and maintain accurate customer accounts.
- Assist in preparing reports on credit risk and collections performance to senior management.
- Collaborate with the team to identify and implement improvements in the credit and collections processes.
- Provide excellent customer service and respond to inquiries related to payment terms, account status, and discrepancies.
- Comply with all applicable sales tax exemptions and payments by state.
Knowledge, Skills, and Abilities
- Proven experience in credit and collections, preferably in an industrial or manufacturing environment
- Strong knowledge of credit assessment and collections best practices
- Ability to work with various software platforms; prior experience with NetSuite or similar accounting software is a plus
- Excellent negotiation and problem-solving skills
- Strong organizational and multitasking skills, with attention to detail
- Excellent written and verbal communication skills
- Ability to manage high-volume collections and prioritize effectively
- Proficiency in Microsoft Excel, Word, and Outlook
- High level of professionalism, with a focus on customer service and relationship building
- Ability to work independently and as part of a team

Minimum Qualifications
- High School Diploma or equivalent (Bachelor’s degree preferred)
- Proven experience in credit management and collections (3-5 years preferred)
- Strong working knowledge of account reconciliation, payment plans, and credit extensions
- Proficiency in MS Word, Excel, and Outlook
- Excellent written and verbal communication skills
- Ability to work with minimal supervision while maintaining accuracy and efficiency
- Proof of eligibility to work in the U.S.
