Position Summary:
RIALA is seeking an organized and self-motivated individual to join our team as a Part-Time Event Coordinator/Administrative Assistant. This role combines administrative support for the Executive Director with the coordination of various RIALA events and programs. The position requires flexibility, with a minimum of 20 hours per week. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.
Key Responsibilities:
- Provide general administrative assistance to the Executive Director, supporting a variety of functions as needed.
- Coordinate logistics for RIALA’s annual events, including the Annual Meeting, Conference and Expo, Golf Tournament, Continuing Education Webinars, Administrator Training Program, Nurse Training Program, and Leadership Bootcamp, and other events planned by RIALA.
- Organize event site logistics, including coordinating food and beverage, room set-up, audio-visual needs, and other necessary arrangements.
- Prepare event materials such as name badges, registration lists, and other event-specific documents.
- Manage event registration processes, including creating registration forms, tracking attendees, and preparing welcome letters and related event/program communications.
- Oversee event logistics on the day of the event, ensuring all materials are prepared and set up.
- Assist with event setup and breakdown, managing attendee materials, and supporting the registration table.
- Respond to member inquiries, providing timely and accurate information.
- Prepare and send monthly marketing materials to members, ensuring the content is current and relevant.
- Assist with maintaining accurate membership records and database updates.
- Provide assistance with communications to various event stakeholders, including sponsors and vendors, in an administrative capacity.
- Serve as an ambassador to the RIALA with each member and non-member interaction.
- Support the Executive Director with ad hoc tasks and projects as needed.
Qualifications:
- Previous experience in administrative support, event planning, or a similar role is preferred.
- Strong organizational skills and ability to manage multiple tasks efficiently.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively within a team.
- Proficiency with office software (Word, Excel, PowerPoint) and basic event management tools.
- Familiarity with MemberClicks, Canva, and Venngage Infographics is desirable.
- Flexible and proactive approach to work, with a positive attitude toward problem-solving.
Hourly Rate: $25 - $32
