DIRECTOR OF BUSINESS OPERATIONS

Rhode Island Nurses Institute Middle College Charter High School is seeking a highly organized, business-minded, and results-driven Director of Business Operations, to manage and improve all business operations, including: managing processes, payroll, purchasing, human resources, inventory, and IT. The Director of Business Operations will report directly to the Principal.

The NursesMC charter high school model was created in 2011 as a solution to the critical nursing shortage and to ensure a diverse nursing/healthcare workforce to improve health equity outcomes. The flagship school, located in Providence, RI, has received national and international attention for its innovative design, impressive student achievement, and positive impact on the community. NursesMC students receive a rigorous college preparatory curriculum, participate in health care internships, obtain an entry level patient care workforce certificate, and earn up to 33 transferable college credits towards a nursing/healthcare provider post-secondary degree.

ABOUT THE ORGANIZATION

Nurses Middle College (NursesMC) is on a mission to transform lives and improve patient care by putting students from backgrounds underrepresented in healthcare on a path to a nursing career.

  • Nursing content will be infused throughout the curriculum.
  • Students will engage in learning experiences at area healthcare facilities, including a 40-plus-hour clinical internship.
  • Nurses and other area health professionals will teach and mentor students.
  • All students will earn a certified nursing assistant (CNA) certificate or other healthcare workforce credential so they can earn while they learn.
  • Students will dually enroll in college courses at no cost. They will learn what it takes to succeed in college and earn credits they can transfer to reduce the time and money they spend earning a degree.

As Director of Business Operations of NursesMC™- RINI you will join a mission-driven team working to ensure the success of this groundbreaking educational model as it takes root in what many call the healthcare capital of the world.

OVERVIEW: The Director of Business Operation, under the supervision of the Principal and in cooperation with the NursesMC CMO, is the operational leader of the school.

RESPONSIBILITIES:

Team Leadership:

  • Serve as a member of the school based leadership team participating in school management and problem solving
  • Partner cross-functionally to support staff and teachers in executing logistical systems and practices supporting academic operations and functions

Operations Management:

  • Create and manage all logistical systems of the school partnering cross functionally with school staff and department leads to ensure the best possible student experience
  • Maintain files on all vendor services, including, but not limited to: copiers, postage, food service, custodial service, and security.
  • Manage relationships and oversee the work of all vendors including but not limited to: janitorial, facilities, maintenance, copy machines/fax machines, IT,
  • Manage the school's food service program and ensure all records, cash receipts, disbursements, and reimbursement reports are properly managed and maintained.
  • Partner with food service vendor and manage onsite food service staff
  • Ensure that the school site is in full compliance with all health and safety standards as required (local, state and federal).
  • Mitigate risk management by ensuring compliance, reporting and maintaining files of all risk-related incidents at the site. Reports any/all injuries to the Workers Compensation carrier.

Facilities:

  • Coordinate personnel and/or services for all facility-related matters including maintenance, rubbish collection, security services, fire alarm maintenance, emergency generator maintenance, elevator maintenance, pest control, and office machine rentals/leases.
  • Ensure procedures are in place for preventative maintenance program, asbestos management plan, OSHA compliance plan, building evacuation plan, and federally-mandated programs.
  • Manage all equipment including technology including systems for inventory and quality control
  • Collaborate with appropriate school-based staff (Executive Director, Administrative Assistants, and facility personnel) to maintain an accurate inventory of equipment and technology.

Human Resources:

  • Maintain accurate HR files and records on all employees.
  • Ensure all mandated federal, state and local employment laws are posted and maintained.
  • Work with the Benefit Brokers to enroll/terminate benefits with all carriers as needed.
  • Maintain HRIS system in ADP, ensuring valid certification and licenses of employees.
  • Manage and track employee leave (leaves of absence, FMLA), ensuring adherence to federal, state and local regulations. Utilize the HRIS/Payroll software to track this information.
  • Manage Workers Compensation claims and documentation.
  • Successfully onboard and offboard employees as needed, including facilitating the completion of all new hires and separated employee paperwork. Process this paperwork to ensure payment for services is in place or payment process is ceased due to separation of employment.

Grant Compliance / Deadlines:

  • Ensure compliance with all grant requirements by coordinating with Financial Consultants to accurately manage and report grant funds, including financial status reports and cash reimbursement requests, while meeting all local, state, federal, and philanthropic deadlines.

Finances:

  • Process payroll on the appropriate payroll cycle, ensuring that all payroll documentation is reported accurately based on the employee’s status. Verifies and distributes payroll.
  • Manage state pension program for employees ERSRI and TIAA Cref.
  • Oversee the purchasing process, ensuring timely execution of purchase orders, accurate receipt of materials, and adherence to proper procurement procedures.
  • Process all invoices.
  • Manage all payments and check submissions.
  • Create invoices to Districts quarterly based on the enrollment report and invoices respective Districts in a timely manner.
  • Collect receipts and payments and prepare all deposits for the Head of School/Principal, including District billing receipts.
  • Review outstanding invoices to receipts and follow up with invoiced Districts to ensure timely payment.
  • Ensure accurate billing information is entered into the accounting system for each billing cycle.

QUALIFICATIONS:

Education and credentials

  • Candidates must possess:
  • Bachelor’s degree in Education, Finance, Accounting or Business Management or related fields required with a minimum of three (3) years experience strongly preferred.

Experience

  • Strong experience in urban charter school K-12 school settings preferred - not required.
  • Prior experience in budget management, operations management, personnel administration, facilities management and inventory management preferred.

Essential skills

  • Proficient in Microsoft Office products (i.e., Word, Excel, PowerPoint) and Google Apps for Education (i.e., Docs, Sheets, Google Drive).
  • Meticulous attention to data and reporting to drive financial decision making.
  • Self-starter who is detail oriented.
  • Must be team oriented.
  • Must have excellent interpersonal skills when working with students, teachers, colleagues, parents, administrators and headquarters.
  • Must have excellent written and oral communication skills.
  • Must be highly organized and manage time and resources effectively, prioritizing efforts according to organizational goals. Multi-tasking skills are important.
  • Ability to follow procedures while remaining flexible.
  • Consistently demonstrates respect and appreciation for others by empathizing, valuing their time and contributions, and being available and responsive to their needs.

  • Some experience with Abila MIP Fund Accounting 100 software preferred.

Benefits:

Pay Range: $85,000 - $90,000
