Position Summary:
The Accounts and Data administrator will provide administrative support to Director of Marketing, Brand & Accounts to ensure the organization’s book of business is well managed, by creating efficiencies and using appropriate technology systems. Manage the day-to-day responsibilities for the execution, compliance, storage, and renewal of contracts across all departments within the organization. Manage the data entry into EAPX and act as the principal manager of contract management software. Responsible for drafting contracts, task orders, work requests or any other type of document that would be necessary to retain or bring in new client companies. Essential Duties and Responsibilities (including but not limited to):Account Support and Administration
- Manage the data in EAPX for all client companies.
- Produce client company quotes and contracts using approved model templates for new and continuing business.
- Prepare and edit contracts between the company and potential client companies.
- Create and maintain effective relationships with agency vendors, subcontractors, and grant partners to ensure clear and consistent communication regarding financial items such as compliance with contract terms, contract rates, contract renewals.
- Utilize data management tools to generate reports for internal and external use.
- Generate invoices for client companies and work in partnership with the Finance team to ensure proper billing for client companies’ activities within and outside the scope of their contract.
- Track broker commissions and payments.
- Serve as a liaison to subcontractors, grant partners, client companies, and the like.
- Maintain records for correspondence and documentation for all agency contracts.
- Monitor agency contracts for EAP services and proactively work with clients to renew according to agency practices.
- Research regulations to guarantee contracts are updated and in compliance with laws.
- Provide support EAP team for EAPX and various Data Management Systems in use.
Account Support and Activities
- Conduct research for EAP accounts team: competitors, market demands, services, new business outreach
- Research and recommend models for an organizational annual report to stakeholders.
- Communicate and present information to stakeholders about organizational matters as needed.
- Assist in scheduling and attending benefit fairs for client companies.
- Provide orientations for client companies when possible.
- Provide support with websites, e-newsletters, and social media marketing as needed.
- Other duties as assigned.
- Other Duties that may be assigned based on incumbent’s skills, interests, and organization needs:
- Constructively utilize and actively participate in formal and peer supervision to evaluate and improve effectiveness in providing services to clients; this includes participation in regular peer utilization review.
- Pursue ongoing professional development through provided in-service trainings, reading professional literature and attending relevant workshops and conferences.
Job Type: Full-time
Pay: $50,000.00 per year
