We are seeking a detail-oriented and organized Marketing Communications Events Administrator Intern to assist in the day-to-day operations of our Marketing Events. This role involves supporting our Event Coordinator and collaborating with various departments to ensure smooth execution of events. The ideal candidate will be highly organized, able to multitask efficiently, and comfortable using MS Office and other project management tools. The ability to work independently while supporting a team is key to success in this position.

Job Brief
We are seeking a detail-oriented and organized Marketing Communications Events Administrator Intern to assist in the day-to-day operations of our Marketing Events. This role involves supporting our Event Coordinator and collaborating with various departments to ensure smooth execution of events. The ideal candidate will be highly organized, able to multitask efficiently, and comfortable using MS Office and other project management tools. The ability to work independently while supporting a team is key to success in this position.
Key Responsibilities
- Assist the Event Coordinator with 3-5 tradeshows per week across various departments.
- Maintain and update internal event databases such as Smartsheet, Microsoft Teams, SharePoint, and Asana.
- Create and organize new project folders using templates for each marketing event.
- Register show attendees, capture event details, and distribute event information to Ribbon personnel through event Fact Sheets.
- Order services for multiple shows and track expenses and budget sheets as transactions occur.
- Design header graphics for email and social media campaigns using Canva.
- Organize and ship company banners and show items, with light to moderate lifting (up to 25-30 lbs).
- Update event details on the Events website page, Google Calendar, and Highspot bi-weekly.
- Provide current and upcoming event information to the Sales Headlines newsletter on a monthly basis.
- Respond to queries from managers and employees and assist with requests for giveaways and other event-related needs.
- Assist with additional marketing tasks as needed, including social media and digital marketing efforts.
- Strong proficiency in software tools, especially Microsoft Office 365 (Word, Excel, PowerPoint, Teams).
- Experience using project management tools such as Asana, Smartsheet, HubSpot, or similar platforms.
- Excellent organizational and time-management skills with the ability to handle multiple tasks efficiently.
- Detail-oriented with a strong problem-solving attitude.
- Ability to handle and lift trade show items (up to 25-30 lbs).
- High school diploma required; previous experience in an administrative role is a plus.
- Social media and tech-savvy skills are a huge plus.
- Must be proactive, eager to learn, and able to work in a fast-paced environment.
