What are the responsibilities and job description for the Service Advisor- Fleet position at Ricart Automotive?

Responsibilities:
- Greet customers, and listen to their description of their concerns or maintenance needs. If a vehicle requires additional repairs not mentioned in the initial repair order, they will work up an estimate and call/approach the customer for permission to complete the work.
What We Need From You Job Duties and Requirements:
- Be aware of all appointment times and greet customs within 5 seconds of entering the facility.
- Confirm the mailing address/email/text/billing information option and confirma good method of contact for the transaction.
- Go over the primary reason for visit with customers- ask probing questions, fill out diagnostic worksheets, and possibly offer a test drive with the tech.
- Complete a walk-around inspection checking tires, for damage, and wiper blades.
- Once all services have been identified and properly recorded by the advisor, reconfirm all items being addressed, and get confirmation from customer by signature/initials on repair order, with completed initial estimate.
- Develop estimates by costing materials, supplies, and labor; calculating the customer's payment, including deductibles.
- Explain estimates and expected return of completed vehicle. Obtain customer's approval of estimate.
- Arrange towing and transportation.
- Verify warranty and service contract coverage by examining records and documents.
- Answer incoming calls.
- Attend continuous online and in-class training to better knowledge of vehicle brands.
- Have detailed conversations with extended warranty companies and fleet companies to gain approval for customer vehicle service needs.
- Contact customers 2 days after their vehicle is picked up from a repair visit. This is to confirm repairs were completed correctly.
- Maintain an open repair order list- update every Thursday with an explanation of why the vehicle is here.
Essential Job Functions:
- Must have and maintain a valid driver's license with less than 9 points to remain insurable and able to drive on company property
- High school education or equivalent
- Automotive experience preferred.
- Customer service excellence.
- Attention to detail.
