Job Description

Riceland Foods is looking for an Administrative Assistant for the Jonesboro Main Office. Provide support to senior managers in a timely and professional manner. The successful candidate will be responsible for providing high quality administrative and clerical assistance while greeting guests and managing phone calls and emails to ensure the office workflow runs smoothly.

***Proven work experience as an Administrative Assistant or similar role to include strong communication skills, excellent organizational skills, computer and office equipment knowledge, and experience exercising discretion and confidentiality with sensitive company information is required.

DUTIES TO INCLUDE:

DAILY

Answering phones and directing calls.

Having Division Manager sign Policies, Receipts, and/or Expense Reports.

Checking-in visitors to the office and/or mill by having them complete the correct documentation and providing necessary PPE.

Managing the Division Manager and Jonesboro Director of Operation's schedules.

Maintain presence at Main Office front door.

Directing Main Office and Human Resource foot traffic.

Reviewing data for and completing Daily Production Report.

Emailing reminders for meetings and events.

Sort and distribute mail and packages from USPS, UPS, and Fed-Ex.

Scanning all packing lists from items delivered to the main office to the Supply department for items to be officially received.

Maintain appearance of Lobby.

Dusting, arranging displays and magazines, and resetting/stacking anything as necessary.

Review Jonesboro Sun for Farming/Riceland related stories.

Locking front and plant side door of Main Office when office closes.


Weekly

Collecting information for and distributing a weekly absence and agenda for Managerial Staff.

Maintaining the Division Manager and Jonesboro Director of Operations' expense reports.

Updating and maintaining the Policy Manual PDF, which contains safety information and company best practices, for the three northern mills.

Correcting any discrepancies in Weekly Milling numbers by working with Asst. Director of Production Services, Mill Managers, and Directors of Operations.

Printing and organizing job listings for distribution to plant break areas.

Running a dishwasher cycle with coffee pots/Keurig drain platform.

Can occur more often if necessary


Bi-Weekly

Ordering and restocking Conference Room supplies, Break Area supplies, office supplies, and donations.

Through Jannie McNatt in Supply

Bathroom supplies as requested by Dow

Office utilizing Sam’s Order form or Storehouse Catalog

Donations through Stuttgart Central Stores

Communicate with shredding service.

Checking Keurig filter and running clean water through the system.

Monthly


Printing and distributing birthday cards for all Jonesboro site full-time employees.

Submitting the Division Manager and Jonesboro Director of Operations' expense reports.

Reviewing data for and completing Parboil Operations Report.


Bi-Monthly

Editing, designing, creating content for, printing, and distributing the company newsletter for the Northern Mills.

Cleaning the Conference Room Fridge.


Quarterly

Updating and distributing the phone directory for the three northern mills.

Review cell phones charged to Jonesboro, New Madrid, and Waldenburg accounts.


Yearly

Collecting and organizing data for Northern Mills' capital budgets.

Adjust the times on the Main Office clocks at each equinox.

Decorate the Main Office as the season dictates.

i.e. Christmas tree

Organizing and decorating room for yearly Christmas lunch.


As Needed (This can range from every day to once a quarter)

Working to supply auditors with necessary documents.

Creating and maintaining Excel workbooks as needed by Administrative/Executive Staff, including data entry, and producing charts and/or graphs.

Creating documents using Microsoft Office to create forms for Managerial and Supervisory staff to approve and use throughout their department.

Maintaining digital files regarding local properties purchased by the company.

Designing shirts distributed as employee rewards.

Recording and distributing minutes for meetings as requested.

Checking out company vehicles for use.

Designing presentations for internal and external meetings

Creating signage for the Main Office.

Reviewing materials for accuracy, grammar, and content before distribution by Administrative/Executive Staff via email or a mail service.

Maintaining and organizing physical and digital files for Administrative/Executive Staff.

Creation of reports, collection of data, and production of booklets and correspondence as needed by Administrative/Executive Staff.

Communicate with office equipment repair/maintenance companies.

Communicate with the Cleaning Company regarding changes, issues, and Riceland's needs.

Communicating with the Postal Meter Company regarding supply orders, rate updates, and maintenance

Scheduling tours.

Ordering and arranging catering for office meetings/events.

Laminating signage/booklets for Managerial/Supervisory staff.

Printing in color for Managerial/Supervisory staff in plant.

Binding booklets.

Ordering business cards through Ashley Eagle.

Sending out Personnel Announcements per the Division Manager and Director of Operations.

Contacting maintenance for building repairs.


Education Requirements

Associates Degree, with 2-3 years of experience preferred but not required.
