The Event Specialist will be responsible for planning, organizing, and executing in-person events that align with Richard Harris Law Firm's marketing and branding objectives. This role involves managing all event logistics, liaising with vendors, overseeing event swag and inventory, and ensuring seamless execution of firm-sponsored and community events. The Event Specialist will also play a key role in recruiting and coordinating volunteers for various events.
This is a full-time, in-person position based in Las Vegas, NV. Remote or hybrid work is not available. The ideal candidate must be a team player with strong interpersonal skills, the ability to adhere to strict deadlines, and the capability to report to upper leadership with event progress and results.
Responsibilities:
○ Discuss event themes, timelines, and expected outcomes with internal teams.
○ Offer creative solutions to enhance event experiences.
○ Coordinate with graphic artists to ensure cohesive event branding and promotional materials.
○ Negotiate contracts with vendors and suppliers to optimize costs.
○ Ensure financial plans align with event goals and expected ROI.
○ Coordinate venue logistics, including room setup, catering, and A/V needs.
○ Manage event registration and guest lists for firm-sponsored and community events.
○ Coordinate vendor schedules and deliveries, ensuring compliance with event requirements.
○ Maintain strong relationships with vendors and industry professionals.
○ Ensure proper branding and visibility at community events, including banners, speaking opportunities, and promotional materials.
○ Create promotional materials, including invitations, flyers, and social media content.
○ Oversee event registration and ticketing as needed.
○ Staff internal RHLF team members and/or marketing interns as needed for event execution.
○ Manage on-site staff and volunteers, delegating responsibilities effectively.
○ Troubleshoot any issues that may arise during events, ensuring a positive experience.
○ Ensure accountability for those staffed at events, maintaining clear roles and expectations.
○ Develop contingency plans for unexpected challenges (e.g., weather, vendor cancellations, last-minute changes).
○ Analyze event data and prepare reports highlighting key takeaways and areas for improvement.
○ Implement improvements to enhance future events.
○ Work with HR to plan employee engagement events that enhance workplace culture.
○ Order new swag as needed, ensuring high-quality materials and timely delivery.
○ Ensure event responsibilities and deadlines are met, adhering to strict timelines.
○ Provide regular updates to leadership on event progress, staffing, and execution.
○ Stay up to date on industry trends to improve event planning strategies.

Requirements
- 3 years of experience in event coordination, logistics, or a similar role
- Must be based in Las Vegas, NV, and able to work on-site and attend events in person
- Hybrid or remote work is not available for this position
- Strong organizational, multitasking, and problem-solving skills
- Excellent communication and interpersonal skills, with a team-oriented mindset
- Experience in negotiating contracts and managing event budgets
- Experience managing swag and promotional item inventory is a plus
- Proficiency in event management software, CRM tools, and Microsoft Office Suite
- Ability to work under pressure and adapt to last-minute changes
- Ability to meet tight deadlines while managing multiple projects simultaneously
