Job Summary
The Practice Manager is responsible for overseeing the daily operations of a busy podiatry practice. This role involves managing administrative and clinical staff, optimizing patient flow, ensuring financial efficiency, and maintaining a high level of patient care. The Practice Manager works closely with podiatrist and other healthcare professionals to ensure that the practice runs smoothly, efficiently, and in compliance with healthcare regulations.
Responsibilities:
- Operational Management:
- Oversee the day-to-day operations of the podiatry clinic.
- Implement and maintain efficient workflow processes to ensure smooth patient care.
- Coordinate staff schedules to ensure adequate coverage.
- Manage inventory, including medical supplies and office equipment.
- Staff Management:
- Recruit, train, and supervise administrative and clinical staff.
- Conduct performance evaluations and address any performance issues.
- Foster a positive work environment and encourage teamwork among staff.
- Ensure staff adherence to clinic policies, procedures, and regulatory requirements.
- Patient Management:
- Ensure a positive patient experience, including efficient appointment scheduling, timely care, and clear communication.
- Address patient concerns or complaints in a professional and compassionate manner.
- Oversee the implementation of patient intake procedures, ensuring all required documentation is accurate and complete.
- Financial Management:
- Manage the practice’s financial health by overseeing billing, coding, and collections.
- Monitor budgets, expenses, and financial reports to ensure profitability.
- Negotiate vendor contracts and services to optimize cost-efficiency.
- Ensure compliance with insurance regulations and reimbursement policies.
- Compliance & Risk Management:
- Ensure the practice adheres to all relevant local, state, and federal healthcare regulations.
- Maintain compliance with HIPAA and other healthcare privacy laws.
- Oversee health and safety protocols to ensure a safe environment for patients and staff.
- Technology & Systems Management:
- Manage the implementation and upkeep of electronic health records (EHR) systems.
- Ensure smooth integration of technology into practice operations to optimize patient care and administrative functions.
- Troubleshoot technical issues or liaise with IT support as needed.
- Strategic Planning & Growth:
- Collaborate with podiatrists to develop and execute strategies for practice growth.
- Identify opportunities for expanding services, increasing patient volume, and improving care.
- Stay informed about industry trends and advancements in podiatric care to ensure the practice remains competitive.
Experience
- Minimum of 3-5 years of experience in healthcare management, ideally in a medical office setting.
- Strong knowledge of medical billing, coding, and insurance processes.
- Experience with eClinicalWorks EMR.
- Excellent organizational, communication, and leadership skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Familiarity with healthcare regulations, including HIPAA and OSHA standards.
- Knowledge of medical terminology and clinic operations
- Experience in a medical office setting is advantageous
