The ideal candidate will be organized, able to multitask efficiently, and exhibit effective leadership skills. You will serve as the primary contact for team members and act as a liaison between the practice and the Operations team. We seek someone who embraces a hands-on management style, assisting both administrative and clinical team members as needed. In addition to outstanding communication and organizational skills, the Office Manager will lead in a positive yet productive manner. **Duties & Responsibilities:**
- Lead by example and coach the team to achieve goals, work collaboratively, and create positive experiences for patients.
- Oversee the maintenance of a productive schedule that supports dentists and hygienists in delivering exceptional dental care in a comfortable environment.
- Monitor adherence to practice budget guidelines to maintain profitability.
- Assist team members with treatment planning presentations, review plans with patients, and discuss all financial options. Analyze treatment acceptance and provide guidance on follow-up systems and protocols.
- Coordinate effective daily team huddles, monthly team meetings, and quarterly practice progress meetings.
- Provide ongoing feedback, training, and annual performance evaluations for team members.
- Ensure compliance with protocols and guidelines related to patient privacy (HIPAA) and team member safety (OSHA).
- Assist in the interviewing, onboarding, and training of new hires, in partnership with our dedicated Human Resources team.
- Oversee office management duties, including: - Presenting and arranging financial options with patients to initiate same-day dental treatment. - Understanding the sequence of treatment and explaining treatment phases to patients; presenting financial options and terms. - Ensuring the office maintains patient data according to regulations and company policies. - Monitoring payment processing and verifying that all charges for services rendered are collected and posted daily with high accuracy; ensuring the daily deposit is balanced and closed at the end of the day. - Coordinating the auditing of patient charts, reviewing the schedule, and preparing for the next business day. - Developing, implementing, and managing recall and treatment follow-up systems to maximize treatment acceptance. - Scheduling team members to ensure shift coverage and facilitating requests for time off. - Maintaining efficient and effective workflow between administrative and clinical teams.
- Serve as the liaison between Viridian Dental Partners regarding: - Human Resources - Payroll - Accounts Payable - Marketing - Supplies - Recruiting - Employee Relations
**Education & Experience Requirements:**
- 3-5 years of management experience in a dental practice or related industry.
- Working knowledge of Microsoft Office applications.
- High School Diploma and/or GED equivalent.
