Position Title: Site Coordinator

Position Profile

The Site Coordinator is responsible for managing the daily operations of a solo-person site. This includes performing a variety of contracted office services such as Copy Services, Courier Services, Managed Print Services, Hospitality, Imaging, and Mail Services.

Job Duties And Responsibilities

  • Oversee daily operations of the mailroom, copy center, or scanning facility, including operating office equipment such as PCs, copiers, multifunction devices, imaging, and mail equipment.
  • May also be responsible for additional duties such as:
    • Courier Services
    • Reception Services
    • Switchboard Operations
    • Shipping & Receiving
    • Delivery and Processing of Mail
  • Serve as the main point of contact with customers, ensuring effective communication and excellent customer service on a daily basis.
  • Implement and manage Ricoh Service Excellence Programs to ensure high service quality.
  • Efficiently operate required equipment and software to meet service level agreements.
  • Achieve profitability through effective use of company materials and supplies.
  • Manage daily routine functions, including:
    • Creating and completing work orders
    • Contractor monitoring and inspections
    • Reporting facility-related issues
    • Providing support as needed
  • Collaborate with contracted vendors, facility management, and occupants as needed.
  • Responsible for office supply inventory reordering.
  • May manage conference room coordination and A/V equipment resource management.
  • Maintain positive internal working relationships with all department employees by communicating professionally.
  • Collect and provide data to leadership and customers, including completing monthly reports with support from assigned leadership.
  • Ensure financial responsibilities are met.
  • Perform other duties as assigned.
Qualifications (Education, Experience, And Certifications)

  • High school diploma or GED required.
  • At least 1 year of experience in a related field (B2B and/or technical).
  • At least 1 year of customer-facing work experience.
  • Demonstrated knowledge and understanding of technology.

Knowledge, Skills, And Abilities

  • Tactical thought processing and problem-solving skills.
  • Ability to present information to a small group.
  • Basic customer service skills.
  • Basic technical aptitude.
  • Strong written and verbal communication skills.

Working Conditions And Physical Demands

  • Work is typically performed in an office environment with adequate lighting, ventilation, and a normal temperature and noise level.
  • Some physical effort required. Work is mostly sedentary but may involve walking, standing, bending, reaching, lifting, or carrying objects up to 50 lbs (e.g., papers, books, files, and small parts).
  • Regular use of basic office equipment such as calculators, keyboards, and hand tools.
