What are the responsibilities and job description for the Field Representative II, Cross Functional position at Ricoh?
Supports the daily operations of one or more MS locations, including any or all of the following:
- Copy production and finish work
- Operation of a mail center
- Receptionist duties
- Audio-visual support
- Administrative duties as assigned
- Maintaining billing logs and reports
Additionally, supports the region's MS logs and reports, MS services during implementation, and fills in for absences and vacations at Ricoh locations. Assists during start-ups of new accounts. Responsible for operational objectives at existing customer sites within a geographic territory. Reports directly to the Site or Operation Manager or the IAM, depending on marketplace personnel configuration.
Job Duties and Responsibilities- Assist in the implementation of new MS sites.
- Suggest improvements to processes or procedures and assist the Site Manager or Supervisor.
- Train new and existing employees as needed.
- Maintain accurate and up-to-date site procedure guides, forms, logs, and branding.
- Collect data for Monthly Management Reports as directed.
- Order paper, toner, and other supplies as directed.
- When onsite personnel are unavailable, responsibilities may include:
- Processing incoming and outgoing mail.
- Performing mailroom functions (e.g., sorting, filing, packaging, processing shipments).
- Filing and labeling documents for storage and retrieval.
- Shipping and receiving, including moving boxes or equipment.
- Providing courier services for mail and copy job deliveries (on-campus or offsite).
- Assisting in the Copy Center, including binding, folding, laminating, etc.
- Troubleshooting equipment used within the Ricoh Center.
- Coordinating work assignments to meet deadlines and service deliverables.
- Managing all aspects of the Ricoh Center in the absence of the Site Manager or Supervisor.
- Leading or attending the Daily Huddle.
- Additional responsibilities:
- Perform front desk receptionist duties as required.
- High school diploma plus 6–12 months of related work experience.
- Valid, violation-free driver’s license with reliable transportation and minimum auto insurance coverage per Ricoh policy.
- Experience using and operating mailroom equipment such as shrink-wrap, paper cutters, hole drillers, bindery equipment, joggers, tape machines, staplers, scales, and collators.
- Experience with postage meters and related equipment.
- Ability to use and troubleshoot mailroom equipment.
- Strong organizational skills.
- Effective communication and customer service skills.
- Environment: Typically an office with adequate lighting, ventilation, and standard temperature/noise levels.
- Work Assignments: Require the interpretation and application of complex materials, as well as the preparation and conveyance of diverse information.
- Physical Effort: May involve standing, walking, bending, reaching, and lifting/moving items weighing up to 50 lbs. Includes pushing or pulling machines on wheels (up to 400 lbs.) for repairs. Walking between buildings may also be necessary.
- Dexterity: Moderate use of basic tools such as calculators, keyboards, hand tools, and eye-hand coordination.
